Full Job Description

The Business Manager to the Strategy, Analysis and Planning Director is a critical role within the Directorate. You will be expected to work effectively with senior colleagues within HMCTS, the Ministry of Justice and wider Government.
The Business Manager will be responsible for providing high quality, efficient and effective support to the Director. They will need to have strong organisational skills and work at pace, supporting the Director to ensure her priorities are driven forwards and communicated. They will be responsible for managing the Director’s inbox, commissioning and collating information required for Directorate reporting purposes or in response to high level queries, tracking and completing actions on behalf of the Director and facilitating and attending meetings as required, including scheduling, preparing agendas, and producing minutes.
The role holder will also lead on a range of business support activities including finance and communications.
The position is varied and fast-paced, with an expectation that the outputs are of a high quality. The role requires an agile individual with excellent planning skills, who can be discreet and is mindful of wider priorities and sensitivities.
The Business Manager builds strong relationships and work collaboratively with senior managers and colleagues across the organisation. The role holder will work to the Head of Office and manage a team of Diary Managers.
Your role as the Business Manager encompasses several key aspects (but not limited to):
+ Manage the Director’s inbox, using own judgment to filter and prioritise work including recognising authority as to when to respond.
+ Manage, follow up on and complete actions for the Director ensuring that deadlines are met, and time is efficiently managed.
+ Responsible for delegation of the Director’s work when in meetings/out of the office.
+ Management and development of a small team of EO Diary Managers.
+ Provide administrative solutions and support to the Director, and, where appropriate, their management team, using initiative when confronted with unusual situations.
+ Facilitate and attend meetings as required, including scheduling, preparing agendas and additional papers within OneNote, in-meeting facilitation and producing minutes.
+ Monitor and analyse data, highlight problems, and recommend interventions to the Director as appropriate.
+ Ensure key communications from other parts of HMCTS or MoJ are delivered and cascaded to relevant managers on time and in the appropriate manner.
+ Review and maintain Directorate information such as intranet pages and induction pack.
+ Provide ad-hoc support to the Head of Office, Senior Management Team and Directorate as a whole.
Other duties
+ The post holder is required to work in a flexible way and undertake any other duties reasonably requested by line management which are commensurate with the grade and level of responsibility of this post., Strengths may also be assessed at interview, but these are not shared in advance.
