Full Job Description

Due to our continued growth, we are excited to be recruiting for a Business and office manager to join our CCL team in Cumbria. CCL Solutions is a professional management consultancy, delivering successful property and construction solutions within healthcare settings nationwide. With 300% growth in the last 5 years and 80% of our business coming from repeat commissions, our clients rely on us providing a wholly satisfying personal service to them. Our continued expansion is due to us developing trust and becoming a dependable partner in the capital projects of our clients., This a varied but rewarding role as our new business and office manager will be responsible for assisting the Managing Director in the implementation and administration of the operational business to achieve company objectives. This role can be between 30 and 37.5 hours per week depending on your preference., Responsibilities will include all tasks required within: Business Administration:

  • Personal Assistant functions to the CCL Solutions Manging Director
  • Organise, collate reports and minute regular internal Company meetings
  • Collate and report on key business risks and ensure maintenance of risk registers
  • Develop and manage the operations business corporate diary
  • Assist in organisation of corporate team days and socials
  • Provide support to the company's operational staff and consultants where required.
  • Liaison with Group Business Managers and Directors
  • Maintain the company's document management system, ensuring all files are stored in accordance with agreed procedures.
  • Maintain the ISO 9001, 14,001 and 45001 accreditation systems and GDPR.
  • Development and maintenance of operational policies and procedures
  • Monitor the company's general enquiries email mailbox and ensure all matters are actioned effectively.
  • Financial and Commercial Administration:
  • Assist in the development of fee proposals, tenders and framework bids
  • Assist in recording business development opportunities and pipeline
  • Assist in the development and updating of client and consultant contracts
  • Review and obtain approval of monthly staff timesheets and expenses
  • Issue monthly expenses reports to finance
  • Generate monthly invoices from CMap and issue to Clients for payment
  • Liaise with finance on production and accuracy of quarterly finance reports and monthly debtors/creditors
  • Monitor income generation monthly against the business plan and advise progress
  • Maintain and provide monthly credit card reconciliation
  • Office Management:
  • Management of company office leasing, consumables, IT and required H&S inspections/audits.

    To meet the requirements of this role, the successful person will have the following qualifications, skills, and experience:
  • Business Management experience (essential)
  • Degree qualified in relevant discipline (Desirable).
  • Advanced level utilising Microsoft Office and relevant ICT software systems (essential)., Excellent verbal and written communication skills in English.
  • Ability to Interact effectively and diplomatically with a wide range of people and situations.
  • Capable of planning and managing own workload, with the ability to manage tasks with regular deadlines alongside proactively responding to tasks as they arise.
  • Able to provide honest and supportive feedback to a range of people..
  • Demonstrates respect, integrity and confidentiality always.
  • Has creativity and initiative to problem solve.

  • Salary £30,000 - £40,000 per annum, negotiable subject to qualifications and experience.
  • Discretionary 10% annual bonus.
  • 33 days of annual leave p.a. (including UK statutory bank holidays;) rising every 2 years to a maximum of 36 days p.a.
