Full Job Description
The role of the Business support Administrator exists to support the project management functions on Projects across Hampshire and Wiltshire in addition to the wider UKPN Services business to ensure that the Projects are delivered to time, cost and quality.,
- Raise Service Orders and Purchase Orders
- Provide project costing information.
- Goods receipt/post supplier invoices
- Investigate and resolve Parked and Blocked Invoices.
- Raise Gate C paperwork
- Maintain Training Plans.
- Maintain Inspection records.
- Arrange and support monthly Team and Safety Meetings.
- Develop and maintain Programmes of Work schedules and reporting
- Prepare project packs to issue to the delivery teams.
- Prepare completion certificates for issuing through to commercial
- Source utility plans for project teams.
- Absence and holiday recording and reporting
- Co-ordinate IT requests and maintain records
- Co-ordinate PPE requirements and maintain records
- Order and maintain stationery and maintain records
- Process timesheets, expenses etc. and maintain records
- Maintain local goods delivery log
- Maintain staffs' competency records
- Investigate and answer internal and external customers queries
- Support local Project Review meetings and HESACs e.g. minutes
- Support Project risk meetings and maintain register
- Assist with Project Monthly progress and KPI reporting
- Support Ludgershall office staff and MUJV staff at Tidworth during periods of high work load or sickness Principal Accountabilities Financial
- Parked and Blocked invoice levels zero. Customer
- Positive feedback from internal customers including Project Managers.
- No Customer complaints. Process
- SAP updated in a timely manner.
- No retrospective purchase orders.

- Agree and review on a regular basis IPR objectives and performance
- Ensure attendance to monthly Team meetings
- Contact the Manager to report sickness in accordance with procedures
- Attend Return to Work interview on your return
- Complete a sickness Self Certification Form upon return to work
- To achieve zero days lost due to accidents, Managers and supervisors carry both legal and company responsibilities for ensuring the health and safety of their employees, those under their control and those who might be affected by the work undertaken, i.e. public, visitors and employees of other organisations. This includes briefing individuals working for them and ensuring there is the necessary understanding, competence and application of requirements to work safely and without harming the environment. Employees will ensure they fully understand the health and safety risks involved in their work activities and their responsibility to apply the controls needed to manage those risks to acceptable levels. Similarly where work activities can have an adverse impact upon the environment, and particularly where there are legal requirements, employees will understand those impacts and the controls they must ensure are applied. Employees need to be aware that for some craft and operational roles that work at height, or use fall arrest devices, there is an upper weight limit of 116Kg due to maximum safe working load of the safety equipment that is used.
- Good SAP knowledge and proven skills
- PC literate and proven ability to use Word, Excel and Outlook competently
- Experience of working in a project delivery environment would be an advantage
- Ability to work in a pressured environment as part of a highly focused team
- Team working and the drive and ability to work co-operatively with others to achieve shared goals and optimise the contribution of all members of the team
