North East Essex Health and Wellbeing Alliance is a clinically led organisation which comprises 32 GP practices across Colchester and Tendring. As part of SNEE ICB, we are responsible for commissioning most health services for the people of NEE, including hospital care, community health services, mental health services, learning disability services and urgent and emergency care, excluding primary care.

NEE Alliance population becoming diverse and continues to grow and change. This brings pressure and challenges for the local health and care services that NEE Alliance commissions or buys on behalf of residents. NEE Alliance works closely with Councils, providers, general practices, voluntary, community organisations, and unions, to achieve our shared aims.

We are looking for a medicines optimisation business support officer, who has excellent communication skills and is confident with diary management and committee administration. You should be adept at planning and prioritising to a high level in a face paced environment and be able to reorganise work in view of conflicting and changing priorities. Please note this is post if being offered as a one year fixed term or one year secondment post.

You will be an integral part of our friendly team, providing full administrative support to the Chief Pharmacist and general support to our pharmacists, pharmacy technicians and practice staff.

Main duties of the job

1. Provide administrative and secretarial support to the medicines management team.

2. Receive and deal with incoming telephone calls, taking messages or relaying information as required.

3. Take accurate notes and minutes at formal meetings (both internal and external to the ICB) as required, presenting the minutes in a professional format to given timescales.

4. Co-ordinate diary events and arrange meetings using electronic calendar where possible, including ICB-wide events, liaising with external venues, suppliers and caterers as required.

5. Establish and maintain office systems and administrative procedures to achieve high standards of clerical services.

6. Receive, screen and sort incoming post, dealing with correspondence on the teams behalf, including summarising information and advising on priorities/course of action.

7. Draft letters and documents as appropriate, which conform with ICB standards in terms of appearance and professional content.

8. Undertake typing, word processing of correspondence, documents, forms, agendas and reports.

9. Carry out photocopying and distribution of documents to given timescales where appropriate.

10. Create and maintain up to date filing systems using the most effective methods.

The NHS Suffolk and North-East Essex Integrated Care Board (ICB) plans and buys healthcare services for our population. This function is commonly referred to as commissioning. To do this, we work within a budget of around £1.5 billion, which is set by NHS England, and work closely with local government and the NHS providers in our area. Our performance is judged by how well our local health and care system as a whole is working, including the health outcomes of our communities. The ICB has delegated some authority to the three health and wellbeing alliances that operate in Suffolk and North-East Essex to act on its behalf. This is to ensure that the needs of smaller, local areas are addressed. The ICB remains accountable for all of its functions, including those it has delegated. Local residents have a big role to play in the operation of the ICB. We rely on the experiences and perspectives of our communities to help shape our decision-making.
