Full Job Description

The Operational Improvement Team are recruiting a Business Officer and Personal Assistant (PA) to work as part of the Business and Programme Office team. The Business Officer and Personal Assistant will provide administrative and personal assistant services to the Director of Elective and Emergency Care Improvement and the Director of Operational Improvement, whilst also supporting day-to-day business and operations across the group as part of the Business and Programme team. The role is required to support the Director/s to carry out their duties and portfolio areas by providing complex diary management, inbox management, logistical arrangements, preparing presentation materials, drafting reports and correspondence, and by working across the wider teams. The postholder will also hold responsibilities across various business areas and will work closely with the wider team to ensure smooth running of the Team. This role will be a job share with another person working 0.4WTE.,

  • Organise and manage meetings, face-to-face and virtually, including preparation of agendas, minute taking and tracking actions and timeframes.
  • Diary management ensuring meetings are planned and coordinated.
  • The setting up and management of effective business processes, working with other teams to achieve best possible outcomes.
  • Handle significant quantities of confidential and sensitive information in the appropriate manner, maintaining confidentiality, discretion and trust at all times.
  • Organise and manage internal & external events, arranging venues and travel arrangements, and sending and managing invitations.
  • Provide papers, presentations and other similar documentation as requested within timeframes and supporting team members to understand their individual priorities and work requirements.
  • Have a flexible approach to work in line with the needs of the business.
  • Use own initiative to provide effective and accurate communication on behalf of the Director as and when necessary, managing demands, priorities and communication effectively and solving simple queries appropriately.
  • Act as point of contact for the Director/s and providing overall professional and high-quality administrative support.
  • The role also supports workstreams across the team which may include staff engagement, risk management, finance support, communications, business planning and more., NHS England hold a Sponsor Licence; this means that we may be able to sponsor you providing the Home Office requirements are met. To be eligible for sponsorship through the Skilled Worker route you'll usually need to be paid the 'standard' salary rate of at least £38,700 per year, or the 'going rate' for your job, whichever is higher.
