Full Job Description

Responsible for the delivery of the high quality outcomes for the Governance and Assurance department, including effective legal support to Lawyers within Legal Services, and supporting other internal and external stakeholders.
To ensure the support provided to legal services is cost effective and customer focused. To support the legal service and the council in ensuring that the principles of good governance in decision making are achieved.
To provide professional business support to Legal Services primarily but also to Governance and Assurance generally as directed by the Business Manager.
PRINCIPAL ACCOUNTABILITIES
Responsibilities
You will undertake a range of administrative duties to assist across the department including:
1. Communicate effectively and respond to professionally to incoming phone calls, emails and correspondence.
2. Preparing documentation and drafting correspondence to internal and external officers in a professional manner.
3. Update and maintain IT systems, such as the shared drive folders, to ensure that records are up to date.
4. To maintain strict confidentiality of all records produced and received and be aware of requirements of the Data Protection Act 2018.
5. Providing support in facilitating and arranging interviews, meetings and also minute taking of meetings where appropriate.
6. To ensure all tasks are completed to agreed timescales, standards of accuracy and presentation.
7. To attend and participate in training activities and workshops as part of your learning and development.
8. To have a flexible approach and undertake other duties appropriate to the post that may reasonably by required from time to time.
9. To carry out the duties and responsibilities of the job in accordance with the Council's Health and Safety Policy and relevant Health and Safety legislation and to actively promote equalities through the application of the Council's employment practices and procedures in accordance with relevant legislation.
JOB CONTEXT Grade/Conditions of Service
The post is based in the Business Support Team, Governance and Assurance department. The post reports to the Business Support Officer (Grade 8).
Contractual hours: Monday to Friday, 36 per week.
The employment is subject to a probationary period of twenty-six weeks from your start date of employment with Southwark Council, during which time you will be required to demonstrate to the council's satisfaction, your suitability for the position in which you are employed.

The person specification is a picture of skills, knowledge and experience required to carry out the job., An awareness of health and safety issues within an office environment and ability to adhere to the Council's Health & Safety policy, Ability to work efficiently and effectively as part of a team, Experience of using Microsoft Office to compose written materials including appropriate use of emails, Commitment and ability to work in accordance with the organisations policies and procedures including study at the required times to complete the apprenticeship programme

This is a fixed term role till the end of January 2025.
This post is a Grade 3 role. The salary range for this post is £27,306 - £28,977.
Successful applicants will be required to be on site, 5 days a week.
