Full Job Description

We are looking for strong administrators (NHS background good but not essential) with plenty of initiative and the skills to liaise with a wide range of clinicians. Attention to detail and strong organisational skills essential. This is a responsible role which is greatly relied upon by our cancer clinicians- enthusiasm and a genuine desire to support these pathways is essential., The Cancer Pathways Team provides an administration service encompassing the facilitation of Cancer Multi-disciplinary Team meetings, and monitoring of patients on cancer pathways to ensure the best patient experience is delivered within the national Cancer Waiting Times standards. An opportunity has arisen to join our friendly cancer pathway team and make a difference to cancer patients and their families. The team keep track of all the cancer patients ensuring they are seen and treated as soon as possible, within the national cancer waiting times. The coordinator role supports the weekly multi-disciplinary team meetings (MDT's) where patients treatment plans are discussed and agreed across the clinical team. The role requires strong communication and IT skills, attention to detail and good organisational skills. The ability to work within a team but also independently and have the confidence to liaise with colleagues of all disciplines across the organisation and with other Trusts. We strongly advise candidates to contact for an informal chat prior to application, As a key member of the Cancer Pathways Team, the post holder will monitor patient pathway progress and support the achievement of the national cancer targets. The post holder will work with all members of the Cancer Tumour Site Multidisciplinary Team (MDT) to facilitate the delivery of weekly MDT meetings. Responsibilities include: 1. Facilitate data collection for diagnosed and suspected cancer patients and enter the information onto appropriate database(s) 2. Monitor and facilitate the progress of patients on cancer diagnostic/treatment pathways 3. Provide information to support achievement of the national cancer waiting times targets. 4. Prepare and facilitate weekly tumour site MDT meetings. The post holder will act as the focal point for the multidisciplinary team and will be an essential and integral part in the smooth running, administration and organisation of a tumour site specific MDT service. This is a unique administration role that requires flexibility, attention to detail, initiative and excellent communication skills., CANCER WAITING TIMES MONITORING/DATA COLLECTION

  • To establish and maintain a register of all newly diagnosed and suspected cancer patients. Collate information from a variety of sources such as pathology, surgery, chemotherapy and radiotherapy systems
  • Update the cancer waiting times database (Infoflex) for monitoring 31 and 62 day target on a daily basis.
  • Monitor and facilitate patient's progress (tracking) on the cancer pathways, following the Cancer Management Team escalation process to highlight, prevent and resolve delays. Liaise with clinicians, nursing and other admin staff to determine the reasons for delays with cancer waiting times targets.
  • To facilitate collection of the national cancer dataset (Cancer Waiting Times Dataset) by:
  • + Collating information from proformas, case notes, clinics and MDT meetings + Discussion with clinicians and clinical nurse specialist + Electronic retrieval of prospective and retrospective data from Infoflex, EPR, PACS, Case notes.
  • To collate data from referring hospitals required for Cancer Waiting Times.
  • To collect and upload clinical data as specified within the national clinical datasets i.e. National Lung Cancer Audit (NLCA)
  • MDT MEETINGS AND PATIENT TRACKING
  • To facilitate the MDT meetings of an allocated tumour site. This may require being available for an early start/late finish or during lunchtimes.
  • To liaise with clinical and administrative staff across departments to develop MDT meeting lists.
  • Provide administrative support for MDT meetings
  • To ensure that proformas for each patient to be discussed at the MDT are prepared, having identified all relevant existing clinical data.
  • To organise the weekly multi disciplinary team meeting ensuring that notes, X-rays, pathology slides and other relevant information is available when required.
  • To organise and operate all visual aids needed for meetings eg. Video conferencing.
  • At the MDT meeting complete a live detailed proforma or detailed summary for patient discussed. Keyboard skills are essential
  • To log actions of meetings and be responsible for ensuring that such actions have been carried out.
  • To ensure that outcomes of MDTs (management and treatment plans) are filed in the patient's notes.
  • To work with the MDT members to ensure that appropriate action follows the MDT and that general practitioner are advised of decisions.
  • Ensure all discussions about each individual patient's management and the attendance of MDT members are recorded.
  • To provide cross cover for other Cancer Pathway Coordinators during periods of planned leave, sickness, absence or as requested by the Team Leader.
  • Ensure as part of the Cancer Pathways team that all patients on cancer pathways are treated within the national cancer target waiting times.
  • OTHER RESPONSIBILITIES
  • Ensure that the information entered on the database is of the highest quality and validity.
  • To work with the MDT to ensure that data items pertinent to patient pathways are collected and monitored.
  • To link with colleagues in other departments/referring hospitals to ensure effective working relationships.
  • To develop a good working knowledge of anatomy, cancer terminology, types of cancer treatment, the drugs and medication used for treatment, medical coding and pathology.
  • To be able to work as part of a team or independently.
  • GENERAL RESPONSIBLITIES
  • The post holder must at all times respect patient confidentiality and in particular the confidentiality of electronically stored personal data in line with the requirements of the Data Protection Act
  • The post holder must work in accordance with the trust values.
  • Abide by all Statutory and Trust policies and procedures
  • Attend mandatory training courses as identified through supervision and individual performance review
  • Participate in individual performance review in regular supervision sessions as agreed, The post holder is responsible for ensuring that all duties and responsibilities of this post are carried out in compliance with the Health & Safety at Work Act 1974, Statutory Regulations and Trust Policies and Procedures. This will be supported by the provision of training and specialist advice where required., The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

    Good general level of education (e.g. 5 GCSEs grade C or above or equivalent)

  • Good working knowledge of medical terminology, preferably in cancer
  • Understanding of data protection, Team player but also able to work independently
  • Ability to prioritise a heavy workload to meet deadlines
  • An aptitude for highly detailed, accurate work
  • Good organisational skills, Personal ability to gain influence within the workplace and motivate other people in order to achieve progress, Excellent interpersonal skills in order to work effectively with a wide range of health professionals and as part of a team
  • To be diplomatic and able to interact with people at all levels, backgrounds
