Full Job Description

This is a great opportunity to join our team at HMP Thameside. We are seeking to recruit a Custody Case Administrator to support our team in HMP Thameside, who provide Offender Management and Gangs' service. You will ensure the effective delivery of administrative and organisational support, enabling Custody Case Managers to manage caseloads of sentenced and remand prisoner as well as supporting with departmental targets and budget requirements. Some of your responsibilities will include:

  • Offender Management Coordination: Collect, prepare, collate, and record offender information in both paper and computer systems, ensuring accurate data management within the Offender Management Unit (OMU).
  • Data Management: Perform data entry, revision, and retrieval operations, ensuring that all relevant case data is promptly inputted into the OMU database for accessible performance information.
  • Compliance Monitoring: Ensure compliance with contract Key Performance Targets (KPTs) by encouraging timely completion of Offender Management functions and regularly updating Coordinators on weekly target achievements.
  • Meeting Documentation: Prepare and produce accurate minutes of Offender Management meetings, including Discharge Boards, MARAP meetings, Sentence Planning Boards, and Offender Manager Meetings, within tight deadlines.
  • Stakeholder Liaison: Collaborate with external agencies such as the Police, Probation, and Community Rehabilitation Companies (CRC) to ensure efficient sentence planning and offender management processes, proactively resolving any issues.
  • Administrative Support: Provide comprehensive administrative support to Case Managers and senior managers, facilitating the smooth operation of the Offender Management department.
  • Colleague Coverage: Step in to cover the duties of colleagues during absences or emergencies, ensuring uninterrupted service delivery within the Offender Management department.
  • Process Support: Assist with Home Detention Curfew (HDC) and Observation, Categorisation, and Allocation (OCA) processes, keeping Case Managers informed of prisoner movements and transfers within the prison system.
