Full Job Description

We are seeking to recruit a Clerk for our Management Committee to act as the official channel of communication to and from the Altus School and the Management Committee to enable the committee to function smoothly and efficiently.,

  • Organisation and Administration of meetings
  • Work with the chair and headteacher to prepare a focused agenda for the MC meeting
  • Liaising with those preparing papers to make sure they are on time, and distribute the agenda and papers at least 7 days prior to the meeting
  • Ensuring meetings are quorate, inclusive and well structured
  • Recording the attendance of MC members at the meetings (including any apologies, minuting whether they have been accepted or not), and take appropriate action in relation to absences
  • Drafting minutes of meetings, indicating who is responsible for any agreed actions with timescales, and circulate as agreed with the MC
  • Circulating the reviewed minutes to all members of the MC within the timescale agreed by the MC
  • Following up on any agreed action points with those responsible and informing the chair of progress
  • MC membership
  • Advise MC members in advance of the expiry of a member's term of office and the impact of this on the board's capacity, diversity and skills mix
  • Help to facilitate open and transparent vacancy filling processes in line with the school's MC recruitment and/or election procedures
  • Assist with election procedures where appropriate
  • Collate, maintain and ensure the correct publication of information about MC members such as any pecuniary interests
  • Ensure DBS and any other relevant checks are carried out on any new members where it is appropriate to do so
  • Maintain a record of training undertaken by members of the MC
  • Maintain meeting attendance records and advise the chair of any potential disqualification through lack of attendance
  • Advise the MC on succession planning for all key roles
  • Managing information
  • Maintain up to date records of the names, addresses and category of MC member and their term of office and inform the School Governance Professional of any changes to membership
  • Ensure that information on Get Information About School (GIAS) and the school website is up to date with the current MC membership
  • Maintain a record of MC members' link roles ensuring that all statutory and delegated roles are covered ie: Safeguarding, Health & Safety
  • Maintain a record of signed minutes of meetings and ensure they are published as agreed
  • Maintain records of any MC correspondence
  • Ensure that copies of school specific policies and other school documents are stored and published as agreed
  • Ensure the MC's responsibilities in relation to record keeping are met in line with General Data Protection Regulations (GDPR) and The Freedom of Information Act 2000
  • Advice and guidance
  • Advise the MC on its relevant functions with reference to the Governance Handbook and the Competency Framework for Governance
  • Knowing where to access advice, support and guidance, and where necessary seeking advice and guidance from third parties on behalf of the MC
  • Advise and guide the MC to ensure it works within the appropriate regulatory framework specifically to include the MC terms of reference
  • Advice on procedural matters relating to delegated powers and responsibilities
  • Helping to ensure that the MC delivers high standards of challenge and support that compliments respective improvement plans
  • Advising on the application of local policies and procedures, ensuring it is well understood which policies are County wide and which have local variants
  • As part of our Safer Recruitment Practice, we will need a completed application form before any offers, and all staff will require safeguarding/pre-employment checks which include an enhanced DBS, satisfactory health clearance and evidence of Right to Work in the UK.
