Full Job Description

We are looking for a Client Service Administration Analyst to join our Client Service Administration team which will be part of our new Client Service Global Centre of Excellence (CoE). The CoE administration functions will be performed from both our Horsham and Luxembourg offices. You will be part of a new team that will be responsible for providing client service administration support to Global Client Service teams within the Client Group (e.g. platform data management, annual audit requests, client service data production etc).
As an Analyst within the team, you will be responsible for the delivery of a range of tasks, ensuring under the supervision of your manager, that these are executed accurately and in a timely and professional manner. You will be required to engage with several different teams within Schroders to be able to deliver these day-to-day activities.
You will work as part of a team whilst being able to reach a level of autonomy in carrying your tasks and be flexible and open to learning new technology to improve the overall delivery of those activities.

What you'll do
Client and Platform Data Management

  • Source the required data for new funds from Golden source data providers or internal fund documentation (fact sheets etc).

  • Complete appropriate file formats for upload to the platform and analyse and resolve any errors generated from upload.

  • Liaise with team leader to ensure quality assurance checks are carried out prior to uploading or sending completed files to clients or platforms.

  • Support more experienced members of the team in the collection of information required for completion of client due diligence requests on Schroders entities e.g. SIM EU and/or Schroders fund structures.

  • Retrieve relevant invoices from platform providers and provide to the relevant team member to allow further checks to be carried out.

  • Client Service Data Production (KPIs)
  • Support the production of various KPI reports e.g., onboarding stats for senior management.

  • Client Annual Information Audit on Pooled Funds
  • Engage and coordinate with the required external service provider, e.g. HSBC as transfer agent and internal teams to gather data and information to support external audit requests.

  • Client Information Updates (Corporate Actions), Administration, and Non-Standard Communication
  • Maintain list of 3rd party distributors with appropriate contact details for communications.

  • Assist in answering queries from 3rd party distributors resulting from fund launches and corporate action communications, e.g. provision of impacted ISINs

  • Investigate mailing communications sent to 3rd party distributors that have been returned and update details.

  • External Reporting
  • Using data from internal and external sources, produce accurate and complete reports for review, adhering to agreed production schedules and distribute once quality assurance activities complete.

  • Fund Dealing
  • Receive dealing instructions from clients for onward dissemination by fax to the relevant transfer agent.

  • Other responsibilities
  • Manage own workload on a day-to-day basis according to deadlines.

  • Ensure department controls and procedures are followed honestly and effectively, taking steps to raise any problems to management before they become a risk.

  • Carry out activities with a continual continuous improvement mindset to challenge processes to ensure they are effective.

  • Collaborate with others to help build a positive and supportive working environment.

    Good attention to detail to ensure delivery of high quality, accurate outputs.

  • Strong interpersonal and communication skills to facilitate liaison with key stakeholders and external parties.

  • Able to problem-solve.

  • Able to plan, organise and prioritise to ensure own deadlines are met.

  • Knowledge of financial services is beneficial. This includes an understanding of investment funds.

  • Team player who contributes to overall team effectiveness

  • Be open to feedback, receptive to change, able to challenge status quo and continually look out for self-improvement opportunities.

  • Good Microsoft office skills, including Excel

  • Fluency in a European language, such as French, German or Italian would be an advantage.
