Full Job Description

To assist the Team Manager - Operations and the Clinical Effectiveness Pharmacist with the administration tasks required to deliver the safe, appropriate, efficient, and effective pharmacy related Quality and Governance activity within Hertfordshire Partnership University NHS Foundation Trust (HPFT). To provide a comprehensive and confidential administrative support to the pharmacy department to provide a medicines quality and governance service. To create and ensure the upkeep of effective record management and communication processes and systems. The post holder will need a good working knowledge of Microsoft Excel and the creation of databases.,

  • The Clinical Administrator will provide a comprehensive and confidential administrative support to the pharmacy department to provide a medicines quality and governance service.
  • The post holder will create and operate high risk drugs (e.g. Lithium and Valproate) register/database.
  • · extracting/inputting data onto spreadsheets accurately and timely. · using specialist IT systems to extract / input information. · Prospectively identifying service users who require safety checks., · have no direct responsibility for patient care however the role of the pharmacy team contributes to safer medicines for patient care. · Receive in-coming calls and respond to requests of a non-clinical nature either providing factual information, within own role and competencies, or transferring to an appropriate person in a timely manner. Leadership and Staff Management Responsibility The post holder will: · be required to demonstrate working systems to students, trainees and visitors when requested to do so. · prepare themselves for 1:1 and appraisal meetings. · identify and alert line manager of training needs as well as ensuring mandatory training is kept up to date. Managers have a duty to promote and support staffs' personal health and wellbeing at all times, this includes both physical and mental health and wellbeing. Managers have a responsibility to support staff by directing employees to services that are available to everyone to help in managing health and wellbeing. They should be open and approachable as well as proactive in discussing and agreeing a process to monitor an employee's mental and physical health. Financial Responsibility The post holder will:
  • have no budgetary responsibility.
  • manage supplies and issues of Lithium patient books., The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

    Five GCSEs including: Maths Level C/4-5 or above English Level C/4-5 or above
  • Desirable criteria
  • NVQ Level 2 (or Diploma) in Business Administration or equivalent admin qualification
  • European Computer Driving Licence (ECDL) Level 2 or equivalent IT qualification (or willingness to work towards), Essential criteria
  • Proven experience in office systems, with advanced use of Microsoft Office, i.e. MS Word, PowerPoint, Outlook and Excel.
  • Telephone, email and internet experience, Advanced IT skills and comprehensive use of Microsoft office including Excel, Word, Power Point, Outlook, and MS Teams
  • Be fully literate and able to communicate clear relevant information verbally and in writing
  • PHYSICAL SKILLSEssential criteria
  • Able to travel using own vehicle to various Trust and other locations across Hertfordshire.
