Full Job Description

To provide a high quality, comprehensive administrative service to the Clinical Site Management Team and Emergency Planning Team.
Communicate sensitive information effectively and appropriately on behalf of the Deputy COO, Heads of Site and Emergency Planning and the wider Clinical Site Team and EPRR Team to colleagues in the Trust as well as external agencies and organisations.
Provide to the Head of Clinical Site Team to ensure that the Operational Site Meetings, run effectively with appropriate action and note taking.
Ensure that a robust On Call Manager rota is in place and is kept up to date.
Project the Trusts vision as the first line of contact for the Clinical Site Management Team and Emergency Planning team., Provide business support to the Deputy Chief Operating Officer for Urgent
Care and Flow, Head of Site and Head of Emergency Planning.
2. Work closely with the Head of Site and Head of Emergency Planning
Preparedness and Response to the smooth running of the two services.
3. Attend the daily Operational Site Meetings, recording concise and clear
actions agreed and disseminating these in a timely manner.
4. Develop and maintain the On Call Manager rota for both Manager On Call
and Director on Call. Overseeing the rota on Healthroster and ensuring
appropriate and timely sign off.
5. Coordinate the setup and booking of delegates onto appropriate Emergency
planning training modules.
6. Recommend, initiate, and improve administrative system to support the
smooth running of the site offices and EPRR.
7. Act as a port of call for enquiries to the DCOO, Head of Site and Clinical Site
management team. Be responsible for dealing with all correspondence and
telephone queries, prioritising as appropriate, dealing effectively with both
routine and non-routine enquiries. in a sympathetic, effective, timely and
confidential manner.
8. Oversee the repartiration process ensuring patients are accepted by a
consultant and appropriately recorded on the repatriation database. Act as
the Trust point of contact to coordinate repats, liaising closely with the site team., + The healthcare provider of first choice for the people of East Sussex.
