Full Job Description

Assist with the coordination of the Museum's programme of acquisitions and long-term loans (in and out), , whilst maintaining high standards in museum best practice and risk management. Create, update and quality check records on the Collection Management System (MI+) relating to acquisitions and loans.
Key areas of responsibility:

  • Deliver and maintain processes for acquisitions, and long-term loans in and out in line with established policy and procedure.

  • Monitor acquisitions, coordinate large-scale acquisitions and provide information and support for the management of acquisitions.

  • Co-ordinate the entry of objects into the Museum.

  • Work with the Inventory Manager to create inventory level records relating to new acquisitions in consultation with stakeholders

  • Facilitate the improvement of inventory level object records by carrying out bulk uploads, batch edits and deletions of specific kinds, under supervision, in the Collection Management System in consultation with stakeholders.

  • Quality check inventory level records and mandatory fields; conforming with collection documentation standards as specified by Spectrum and the Registrar: Collection and Documentation.

    IT literate with proficiency in Excel and Word and proficiency in collection databases (data entry, and retrieval)

  • Understanding of the UK collection management documentation standard (Spectrum)

  • Knowledge of museum and cultural sector

  • Excellent communication skills

  • IT literate with proficiency in Word, Excel

  • Loan or acquisition administration

  • Management of small projects

  • Excellent communication skills, both written and verbal

  • Articulate, persuasive, flexible communicator, with effective interpersonal skills.

  • Ability to work within a variety of different teams.
