Full Job Description

We are looking for a Commercial Administrator to join our team in Chiltern.

You will be responsible for managing SMAS registration and other H&S training for subcontractors, the management of utility bills, the collection of rebates and the assistance with sending and chasing enquiry documents. You will also provide additional administration assistance for the office and other departments in line with the needs of the business.

Scope of the role will include but is not limited to:

-Manage & process utilities bills - Record all payments, liaise with utility providers, dispute debt collection queries & process invoices.
-Update change of responsibility (COR) forms & manage handover of utility accounts upon completion - Update records & provide utility providers with handover details.
-Collate & distribute quarterly meter readings of temporary building supplies & show homes to CALA Group.
-Manage sub-contractors' SMAS compliance - Ensure CALA Chiltern maintains 100% compliance for sub-contractors working on site. Send expiry reminders via email, SMAS portal & telephone, attend regular compliance meetings with SMAS & work in partnership to make sure sub-contractors have the correct level of accreditation.
-Manage sub-contractors' SMAS high risk compliance - Ensure all high-risk trades obtain Worksafe PQQ.
-Monitor & apply for BT rebates as sites near completion - Receive details from site, apply for BT rebates, record on tracker & liaise with BT & Accounts.
Set up sub-contractors, create site folders & create distribution groups to receive working drawings on Viewpoint.
-Manage sub-contractor enquiries to tender - Send out pre-qualifying questionnaire & forms, verify on HMRC, get sign off from Commercial Manager & send to Accounts.
-Manage & process Customer Services' payments - Receive invoices from customer services, sense check them, update spreadsheet / tracker, process payments & create authorisation reports.
-Manage & process contra charges - Receive contra charges from customer services, sense check them, update spreadsheet / tracker, process payments & create authorisation reports.
-Set up new sites on OneSite - Create site codes & link then issue to the Site -Manager & Contracts Manager who then take over the process at Pre Order Meetings.
-Reception cover.
-Archiving documents as and when required.
-Process Commercial Director's expenses.
-General administration duties to assist Commercial Director, Commercial Manager, Buyers & Surveyors.
