Full Job Description

The Commercial Capabilities Admin Coordinator provides administrative support to commercial, and sales-orientated teams contributing to the smooth running of the departments and helping them achieve their objectives. The role is a part-time position 15 hours per week across 4 or 5 days.

Key activities for this role:

  • Facilitating all aspects of meetings, e.g., room bookings, catering, visitor registration, etc.

  • Ensure the appropriate recording of meetings through the collection/publishing of meeting minutes.

  • Upkeep of Commercial Capabilities team's Holiday & Meetings Calendar.

  • Back up support for Business Operations for the creation of POs / Contracts and building PowerPoint presentations.

  • Ensure process of invoices/expenses following procedure as laid down by Finance & Admin.

  • Help support and process expenses and budget tracking for spend in certain cost centres in Commercial Capabilities

  • Help support Governance meetings and relevant preparation work, assisting in Divisional Communications and SharePoint/ Teams site upkeep.

    Ability to work autonomously as a process lead self-starter.

  • Experience with booking taxis, flights, hotels, and events adhering to Astellas procedures.

  • Experienced in managing deadlines while offering good attention to detail.

  • English conversational and business English.


  • Education:
  • Any Administration Diploma or Certification

  • Any Design qualifications e.g., Expert user of Microsoft PowerPoint would be preferable but not essential

  • This is a part-time, fixed-term contract position (12 months) working part-time over 4/5 days.

  • This opportunity is in the UK, Addlestone.

  • This position follows our hybrid working model. Role requires a blend of home and a minimum of 3 days per week in our Addlestone, UK office. Flexibility may be required in line with business needs. Candidates must be located within a commutable distance of the office.
