Full Job Description

A detail-focused and proactive administrator for commercial property management is needed to join the team. This role involves managing phone communications, addressing maintenance issues, and liaising with contractors to ensure the seamless operation of commercial properties.
Key responsibilities
Phone Handling:

  • Professionally and promptly answer and direct incoming calls.

  • Address tenant inquiries and concerns, providing accurate information and assistance.

  • Record and relay messages to the relevant team members.


  • Maintenance Coordination:
  • Receive and log maintenance requests from tenants.

  • Assess the urgency of maintenance issues and prioritise them accordingly.

  • Communicate with tenants regarding the status of their maintenance requests.


  • Contractor Liaison:
  • Schedule and coordinate appointments with contractors for maintenance and repairs.

  • Ensure contractors have the necessary access and information to perform their tasks.

  • Follow up with contractors to confirm completion of work and quality of service.


  • Administrative Support:
  • Maintain and update property management records and databases.

  • Prepare and distribute notices and communications to tenants.

  • Assist with lease administration and other property management documentation.


  • Customer Service:
  • Provide exceptional customer service to tenants, addressing their needs and concerns with professionalism and efficiency.

  • Foster positive relationships with tenants and contractors to promote a cooperative environment.

    Further education in property management or a related field is a plus., Previous experience in property management, real estate, or a related administrative role is preferred., Excellent communication and interpersonal skills.

  • Strong organisational and time-management abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Ability to handle multiple tasks simultaneously and work under pressure.

  • Problem-solving skills and attention to detail.
