The Community Assistant will be fundamental in nurturing a thriving workspace community at Better Space, as the first face members are greeted with as they arrive and the first point of contact for any questions or connections. The position will work with the Community Team to manage inbound event and membership enquiries, coordinate tours and be involved in supporting the running of events for members and for external clients using the space. This role will work with the Community Manager on marketing content for the newsletter, social media and blog contributions as well as being involved in event planning and support for members and for external clients using the space. This is an exciting role which offers the post holder the opportunity to develop and influence the outputs of an important and innovative initiative which will support local economic recovery and deliver social value to City's broader community. Main Responsibilities The role will act as the first point of contact for existing and potential Better Space members by being based on the reception and responding to initial enquiries in person or via email. Community Member Support/ reception duties
- Greeting guests and informing members of guest arrival
- Ensure the space runs smoothly and is fully operational
- Work with the Better Space community and act as a 'voice' for them to help improve the space and services
- Bring forward ideas for events and activities to develop community engagement
- Identify and execute opportunities to connect members with each other.
- Assist members to use the coworking software to book/reserve desks and meeting rooms
- Update communication channels with useful information
- Support onboarding for new members and request feedback from leaving members
- Manage access card and locker key distribution
- Accept packages and sort mail
- Keep kitchen area stocked with essentials Events support
- Managing initial responses to inbound enquiries for event space bookings or meeting rooms over email, social media or phone.
- Assist in creating event sign ups and feedback questionnaires.
- Coordinating and book tours for potential members to meet with Community Manager or Workspace Manager.
- Help with creating materials needed to communicate to members or event attendees
- Assist invoicing and tracking payments
- Help with set up of physical event space. Marketing and Promotion
- Assist in designing and distributing regular communications including newsletters, bulletins and updates through digital media to nurture an online community for Better Space amongst external and internal audiences
- Coordinate interviews and Q&As with new members to feature in newsletters and community boards.
- Respond to comments on relevant social media channels. Governance
- Maintain Health and Safety standards and procedures in the space.
- Remind members of policies with regard to fair use of the space.
- Ensure members have access to up to date 'house rules' and shared folders.
- Report any problems to the Operations Manager and the University's service desk.
- Process and input member data into Nexudus.
- Generate monthly Member reports from Nexudus (desk booking software).
Educated to degree level or equivalent professional experience - A basic understanding of startup incubation support and the needs of startups and early stage companies
- A good working knowledge of community management pertaining to space and programmes i.e. coworking spaces or accelerator programmes
- Knowledge of the Social Enterprise landscape and needs of startups and SMEs Experience
- Proven experience in customer service and adding value to customers, preferably in a co-working environment
- Previous experience of managing or supporting events
- Previous experience of managing sales leads/inbound enquiries
- Proven experience of marketing and promotional activities that use digital, social media and other channels
- Previous experience of supporting programmes to develop entrepreneurs i.e. accelerator programmes, mentoring and demo days Skills and Abilities
- Good networking skills with a strong ability to ability to build and nurture communities and opportunities
- Effective organisational and planning skills, demonstrated by a proven ability to successfully initiate, manage and complete projects
- Excellent communication skills, including written and verbal (including regular presenting)
- Confidence to represent and promote Better Space both internally and externally
- High attention to detail when handling data and developing communication material
