Full Job Description

To provide a first class professional service to residents and customers relating to housing revenue account community halls. To support and assist in the management of community halls. To contribute towards service development plans and support the management in implementation of these plans. To resolve enquires from residents and customers in relation to community halls.
KEY ACCOUNTABILITIES:
1. To assist and maintain a central booking system and contact point for residents and the general public and to maximise the use of community halls generating sufficient funds to maintain services.
2. To support the function in monitoring and overseeing compliance with community halls management agreements and protocols.
3. To process invoices, including raising purchase orders, cheque requisitions, checking and authorising payments for community halls.
4. Collate up to date records for all aspects of community halls including repairs, using Cedar, Paris, Universal Housing and other in-house systems.
5. Support with the effective monitoring and management of the customer receptions and facilities.
6. To contribute towards service development plans, local initiatives and team plans to develop the overall quality of customer services.

7. To undertake, develop and implement local initiatives and projects to develop the service e.g. undertaking visits to comparator organisations, identifying best practice, compiling reports for management and implementing recommendations.
8. To support the Team Leader - Community Hall in providing information for reports for meetings as necessary.
9. To support the Team Leader - Community Hall in the development of new and innovative working methods and practices which maximise efficiency.
10. To establish, develop and maintain effective working relationships with residents, Housing and Repairs Team Managers, trade operatives, contractors outside agencies and colleagues to ensure an integrated contribution to Hackney Homes' business objectives.
11. To support and provide information for the capital budget meetings for Community Halls Fire Risk Assessments and major works programme for community halls.
12. To assist with planning for the delivery of refurbishment projects consisting of Fire Risk Assessment works (FRA)
13. To be assist with the monitoring and management of repairs, utilities, planned works and other costs associated with community halls.
14. To support with training resident volunteers in good practice for managing community halls.

Knowledge of social housing and community development
Understanding of running or managing multiple buildings or community facilities.
Experience of general administrative work and/ or clerical work in a busy office environment.
Experience of dealing with customer queries either face to face or by telephone.
Experience of team work within a busy office environment.
Experience of using own initiative to suggest new ways of doings things and positively embraces change.
