Full Job Description

You'll help members have the best day ever! You'll help everyone feel part of the community and involved in what's going on.

You'll run the front desk and are the first point of contact of all members, clients and guests therefore creating the best first impression is essential to this role.

You'll welcome members, manage the diary for meeting rooms and tours, deal with post, answer questions, and keep the front of house functional and organised.

You will give tours of the space to potential clients, working with our sales team to coordinate appointments, follow ups, proposals and help to generate leads. You are motivated to see the enquiry through to complete sale.

You will create, own and manage the events schedule for all Maidenhead MWS sites. You will think creatively about what events our members would like and work with the Community Manager to put together an annual event schedule. You will then manage and coordinate each event, coordinating regular calls with other community hosts for other sites and ensuring the events are on time and on budget.

You'll muck in around the general workspace & the kitchens and complete daily checks to keep things humming along., To support the happy, smooth, and professional running of MyWorkspot. We need a friendly, enthusiastic, outgoing person to join our team and help our members to enjoy their workday and stay productive, as well as showcasing our fantastic facilities to potential clients., Operations / Facilities:

  • Running the front reception desk, giving warm welcomes and goodbyes, and keeping that 1st impression at 5-star standard

  • Handling emails, calls, post and managing the Proxima workspace diary

  • Working with suppliers (cleaning, coffee/water vendors, security) to maintain relationships and reporting any problems to the Community Manager

  • Working with Community Manager to set up processes and systems in the new building

  • Ensuring the meeting rooms are kept clean and tidy for members

  • Opening and closing the workspace

  • Responding to member questions and issues

  • Organising tours and viewings of the space

  • Using our software for signing up new members, managing meeting rooms, creating access cards, logging issues, and more

  • Keeping our kitchen and work zones tidy and safe

  • Completing daily checks

  • Assisting with stock and ordering

  • Supporting the team wherever required (possibly at other sites)


  • Events:
  • Creating, managing and running and member events and socials at each Maidenhead site

  • Work with the Marketing Manager to engage with our community through various channels (social media, forums, email, etc.) to build strong relationships and increase brand awareness.

  • Plan and execute all logistical aspects of events, engaging with customers to understand their requirements, venue set up, catering, equipment requirements, and any other associated tasks.

  • Conduct post-event evaluations to measure success and gather feedback for future improvements.

  • Conduct pulse checks with all current lettings to ensure we continue to deliver what they require. Following collation of this information, action plan to be drafted and sent to the directors.

  • Support the Community Manager to actively network within the local community to help secure new members. This includes attending local networking groups to help build our brand.


  • Sales:
  • Actively calling potential members and booking tours of the space that come through as enquiries

  • Showing potential clients around the space with a thorough understanding of our business and their business needs

  • Work with sales team and Directors for appropriate follow up and proposal

  • Coordinate proposals for new members and follow up with potential clients in a timely manner

    You love keeping things neat and tidy and following processes.

    You have previous sales and event experience,
  • Strong Customer Service / Hospitality / Front of House / Reception experience essential

  • Sales and event experience essential

  • Confident communicator at all levels with a great attitude to people

  • Proactive and able to take initiative

  • Experienced and confident with computer systems and software

  • Responsible, organised and self starter

  • Great timekeeping
