Full Job Description

We now have an opportunity for a Compliance Administrator at HMP Parc to provide full administrative support. To work as part of the onsite Facilities Management team providing and assisting to maintain all aspects of contract and SMC baseline administration, ensuring the smooth running of the establishment and maintain compliance. Working closely with the FM manager to meet the needs of the business and to fully comply with all relevant legislation and regulations to maintain contract site compliance. Key Responsibilities:

  • Manage own workload to ensure effective time management and contract timescales are met.
  • To work as part of a team to ensure that all aspects of the SMC base line guidance are fully met.
  • Liaise with all line management to update on SMC & PPM performance, reviewing and constantly keeping updated with current legislation & regulations within the SFG 20 structure.
  • Contribute to company objectives by meeting own performance objectives.
  • Monitor and Review all baselines so that the system is fully auditable and compliant.
  • Continually review all FM contracts within the department to maintain compliance.
  • Assist with the set up sub-contractor contracts using all processes and systems already established to maintain and update all contractor competencies.
  • Assist to review all contracts for value for money and performance
  • To maintain contract documentation and filing system to ensure compliance.
  • To have a good understanding of the contractual requirements.
  • Provide general admin support for FM managers.
  • Distribute Planned Preventative Maintenance tasks to the hard services team leaders to maintain compliance.
  • To update all tasks within the CAFM system with the relevant information needed to maintain compliance.
  • Develop effective relationships with all customers and clients.
  • Adhere to company values.
  • Adapting to change well in an evolving business.
  • Working closing with hard services team to provide a proactive service for their requirements.
  • To ensure compliance at all times but in readiness for audits that are scheduled.
  • To undergo any training as and when required.
  • Tasks within skill set required and directed by your line manager.

    Essential Skills:
  • Experience within an FM environment.
  • Excellent Organisational skills
  • Good communication skills and the ability to handle issues of high sensitivity
  • A good administration background.
  • Good Team working.
  • BSC level 1.
  • Ability to work to tight deadlines and targets.
  • Excellent communication skills both verbal and written.
  • Good working knowledge of Microsoft office and in particular excel and word.
  • Desirable Skills:
  • Resilient and able to work well on own initiative while under pressure, meeting tight deadlines while balancing a number of priorities.
  • IOSH managing safety
  • Working knowledge of CA FM systems i.e. concept evolution.
  • Working knowledge of SAP & ARIBA.
  • With excellent written, organisational and oral communication skills together with being confident and decisive you will have a flexible approach to work and demonstrate an ability to work under pressure whilst displaying good time management.
