Full Job Description

The Compliance Officer is a vital support role in the small Head Office Compliance Team and helps to protect the business from regulatory risk. This is achieved by ensuring that the company's processes are consistently applied, and a wide variety of regulatory and legislative requirements are met. There is scope to develop the role beyond the immediate tasks and to contribute to the efficient running of the business. Main objectives of the Role Personal Licence Holder Register Maintenance:

  • Maintaining the Personal Licence Holder register in line with policy and monitoring renewal dates to ensure that all licence holders are operating with a current and valid licence.
  • Collating data for the purpose of monthly reporting
  • Invoices and Corporate Expenses
  • Maintaining records of invoices received
  • Ensuring payments have been met and a full audit trail is recorded
  • Collating receipts and completing monthly corporate credit card expenses sheets on behalf of the Chief Assurance Officer
  • 2LOD Monitoring
  • Conducting monthly 2LOD Monitoring and collating 2LOD feedback for the purpose of monthly reporting to Executive Compliance Team (ECT) and Venues
  • Support with the reviewing and updating of Compliance monitoring frameworks
  • Complaints & Disputes
  • Managing the Dispute Management Service (DMS) inbox
  • Maintaining the Complaints & Disputes Register
  • Serving as the primary dispute (stage 2 complaint) handler, including acknowledging,
  • investigating and responding to disputes
  • Liaising with the Alternate Dispute Resolution (ADR) and building dispute file cases for submission where necessary
  • Collating information for any Gambling Commission queries on complaints and disputes
  • Providing complaint handling support to venues where required
  • Contributing to the development of training materials in relation to complaints & disputes
  • Collating data on complaints & disputes for purpose of monthly reporting to ECT and Venues
  • Download of data from SENSE database
  • Updating NEON and Intelligence database to reflect SENSE status
  • Administration and maintenance of users and devices registered to SENSE
  • Policy formatting and publication
  • Formatting of policies, manuals, forms, leaflets and any other associated collateral
  • Publication of above documentation to Sharepoint
  • Maintenance of policy register
  • Compliance Support
  • Maintaining appropriate in scope registers (including Marketing Sign off Register, HVC Application & Review Register, and Employee Gifts & Hospitality Register) and collating data for the purpose of monthly reporting
  • Responsibility for drafting and maintaining all Standard Operating Procedures
  • Formatting of compliance training materials
  • Support with the reviewing and updating of policies and manuals that pertain to compliance[1]related functions that the job holder has oversight of (e.g Personal Licence Holder Manual, Complaints & Disputes Policy & Procedures)
  • Management of all compliance in boxes
  • Support the Data Protection Team with compliance/data protection-related matters where required
  • Additional duties include:
  • Facilitating the Compliance Managers with User Acceptance Testing
  • Maintenance of training records
  • Support to lead on special projects through research, analysis and preparing documentation for presentation

    Must be confident and credible, especially when dealing with peers, senior colleagues and external customers.
  • Must maintain a high level of confidentiality and act in a discreet manner at all times, regarding information in their possession.
  • Must be able to demonstrate competent research skills and be fully conversant with company procedures and databases utilised in relation to social responsibility processes.
  • Must possess excellent communication skills, both written and verbal.
  • Must be highly organised.
  • Must be proficient in using MS Office, possess intermediate to advanced IT skills in normal
  • Microsoft applications (Word, ExCel, Visio, PowerPoint, Sharepoint, and Outlook) and Adobe applications.
