Full Job Description

We are looking for someone to provide administrative and secretarial support to the Contracts team and Commercial Division. To actively participate in contract and internal meetings and communicating effectively with Operations team, ICHT finance, Commercial team, suppliers and clients in and out of NWLP, other Trust finance teams and NWLP procurement services.
To be an efficient and flexible member of the North West London Pathology (NWLP) providing a quality service, + Provides PA support to the Contracts and Commercial Division.
+ Manage the diary and make decisions on behalf of the Managers and Directors in prioritizing and re-arranging diary commitments.
+ Inviting competitive quotations for maintenance/service of medical equipment either directly or through instructing NHS supplies.
+ Raising of requisitions and POs and verifying invoices to ensure they are in accordance with the terms and value of the contracts and recommending for payment.
+ Monitoring and maintaining contract log sheet, ensure appropriate records are maintained, including records of routine service delivery to enable a full audit trail and performance monitoring.
+ Prepare agenda, take minutes and circulate documents for contract review meetings
+ Arranging meetings.
+ Assist in the implementation of Contract and SLA targets
+ General Administrative tasks.

North West London Pathology (NWLP) is an NHS pathology partnership joint venture between Imperial College Healthcare NHS Trust, Chelsea & Westminster NHS Foundation Trust and The Hillingdon Hospitals NHS Foundation Trust. NWLP is modelled as a shared services organisation jointly owned by the three Trusts. The organisation is hosted by Imperial College Healthcare NHS Trust and as the legal entity for NWLP our staff are employed by Imperial College Healthcare NHS Trust.
NWLP is based on a 'hub and spoke' structure; the majority of routine, specialist and non-urgent activity is centralised at our hub site at Charing Cross Hospital. Urgent tests required for immediate patient management and treatment are performed in 24/7 Essential Service Laboratories based on-site within the seven hospital sites in the group.
