Full Job Description

Key objectives

-To understand BNY priorities and how your role supports their daily objectives;

-To identify and escalate risks, threats, etc. which may impact BNYM and act as a first line response to all activations and incidents;

-To take ownership and assist in the management of all critical and emergency situations 'out of hours' until such time as a BNY representative takes over responsibility for the incident;

-To carry out Corporate Security front of House Security Officer/Reception duties

-To development and maintain good relations between the landlord's security team and building residents and visitors

-To carry out front of house ID check to verify those entering BNYM reception and office

-Investigate any issues or incidents which may arise that impact on BNYM staff, premises or assets or Mitie/VSG security staff;

-To carry out internal and external patrols of BNYM premises;

-To be pro-active and identify issues and/or incidents which may impact BNYM;

-To work cooperatively with BNYM London Command Center to deliver consistant services;

-To ensure all relevant incidents are escalated to the LCC and nominated BNYM lead(s) via the correct channels;

-To deliver exceptional customer service to all BNYM staff and their clients at all times;

-To act as evacuation co-ordinator and fire marshal during emergency incidents;

-To log and transfer calls, relay messages and provide guidance and advice to visitors, clients, contractors and staff

-To provide cover for BNY Mellon Receptionist if required;

-To attain and maintain a high level of knowledge of the site Assignment Instructions and the site emergency procedures and their local implementation;

-To produce timely reports of incidents and alarm activations and check and log reports whilst taking appropriate action;

-To carry out access control pass administration as per standard operating procedures;

-To act as first point of contact during crisis/incident management out of business hours and to comply with escalation procedures as per standard operating procedures;

-To work with other service partners to ensure that equipment faults are reported quickly

-To maintain accurate documentation and reports;

-To build and maintain effective working relationships with all key stakeholders

-To assist and mentor all new security officers to support them in achieving site specific objectives

-To support office based clients in matters relating to protecting the security and safety of all BNY Mellon staff, buildings/offices and assets;

-To react positively and professionally in support of all security operations and emergency situations as required;

-To follow the Company policies and procedures in relation to confidentiality, communications protocol, etc.

-To comply with data protection policy;

-To undertake any other duties as requested by the client;

Main duties

o Deal with Emergencies

§ To attain and maintain a high level of knowledge of all Standard Operating Policy and Procedures, site Assignment Instructions and Emergency Procedures ;

§ To take ownershit and assist in the management of all incidents and events which occur 'out of hours' until such time as a BNY client is able to take control;

§ To be pro-active to identify risks, threats, etc. which may impact BNYM and escalate to LCC;

§ To act as Evacuation Co-ordinator and Fire Marshal during emergency incidents as required;

§ To ensure all relevant incidents are escalated to the LCC and nominated BNYM lead(s) via the correct channels;

§ To carry out administration of all routine tasks and operational procedures at all times and in times of emergency

§ Maintain contact with both the client and Mitie Management in accordance with specific and routine instructions;.

§ To act as first point of contact for BNYM crisis/incident management out of business hours and to comply with associated escalation procedures

§ Assist in the investigation of any issues or incidents which arise which may impact BNYM and escalate as per standard operating procedures;

o Manage Ground floor Security Reception:-

§ Deal with the day to day physical standard and out look of the reception;

§ Ensure the security reception desk area is kept clean and tidy at all times;

§ Ensure temporary passes are managed accurately as per standard operating procedures;

§ Ensure to comply with the Assignment Instructions and Standard Operating Procedures;

§ Take ownership to deal with enquiries from staff, visitors and clients to deliver exceptional customer service;

§ Ensure all callers into the reception receive exceptional customer service;

§ Carry out Corporate Security front of house security officer/Receptionist duties;;

§ Maintain accurate documentation and reports

§ Be disciplined and professional at all times following the ethics and standards required on the reception as outlined in the site Assignment Instructions;

§ Maintain effective working relationships with BNYM and Llandlord's Receptionists;

§ To carry out access control pass administration as per standard operating procedures

§ Monitor access and egress control;

o Manage Lower Ground Security Office:-

§ Ensure the security office is kept clean and tidy at all times;

§ Ensure the shift documentations located in the security office are completed and equipment signed out and in as per standard operating procedures;

§ Carry out access control pass administration as per standard operating procedures

o Manage Staff:-

§ Assist with new starter security officers' training in accordance with specific and routine instructions;

§ Assist and mentor new security officers to reach their full potential and achieve the shift's objectives;

§ Monitor contractors when on BNYM premises;

§ Assist BNYM staff who forget their passes to obtain temp passes for the day

o Front of house

§ Carry out front of house ID check to verify those entering BNYM reception and office;

§ Monitor access and egress control

o Audit

§ To undertake regular temporary pass audit checking the pass trackers to ensure all in order

· Ability to deal with, control and manage incidents and emergencies

· Excellent Organisationall Skills

· Security Systems knowledge and experience (CCTV and Access Control systems)

· To read, understand and comply with BNY Mellon Code of Conduct

· Should be proactive and self motivated

· SITO trained and certified

· SIA lLicensed

· First Aid trained and certified

· Physically fit

· A disciplined and professional attitude

· Customer facing/front of house skills

· A high standard of appearance and dress

· Be familiar with and understand the principles of Health and Safety at Work Act 1974

· Good administration skills

· Ability to work within established procedures and contribute positively to any improvements

· Ability to demonstrate a commitment to delivering a high quality service

· Ability to liaise with others at all levels including Senior Management and customers' clients

· Profient and effective Communication Skills - both written and verbal

· Excellent IT skills

· Be familiar with and understand the principles of the Health & Safety at Work Act 1974;

· Capable of working as part of a team

· Previous experience of working in a corporate environmrnt and dealing with emergencies situations
