Full Job Description

  • Corporate Services Coordinator, Workplace Experience, responsible for a varied range of reporting, administrative and coordination activities to support the delivery of a high-quality workplace and service experience.

  • Reporting into the Manager, Workplace Experience (EU)

  • Due to the nature of this position and accountabilities this is a 5 day in-office role, Actively participates and contributes as a member of the London Workplace Experience team.

  • Responsible for supporting daily operations to provide an effective workplace experience that supports cross-Fund collaboration and high employee engagement.

  • Conduct walkthroughs to ensure premises are fit for business, manage maintenance and security, oversee vendor documents and compliance, and handle procurement of office supplies.

  • Reviewing, preparing, and processing invoices for manager approval.

  • Consolidate, manage data and pull reports and trends for the London office Corporate Services team

  • Maintain the Workplace Experience Playbook and BCM content, update intranet facilities content, and send weekly emails about new starters and visitors.

  • Partner with the Talent team for new hire onboarding, set up workstations, manage lockers, and ensure floorplans are updated.

  • Manage all Service Now Tickets from logging to resolution.

  • Handle incoming mail and oversee pantry and workplace amenities.

  • Assist with response emergencies and/or incidents; at times this will require on-site attendance during non-business hours.

  • Health & Safety and Environment

  • + Manage the ergonomics program, including assessments, solutions, and follow-ups. Administer online ergo tools and maintain logs and reports.
    + Support sustainability and net-zero goals by implementing sustainable processes and promoting employee engagement.
    + Assist with H&S and Fire audits, and ensure compliance with UK regulations, including first aid, CPR, AED training, and emergency procedures. Send Health and Safety information to new employees.
  • Corporate Security

  • + Report security incidents and losses. Arrange vendor escorts and support booking security officers.
    + Manage access passes for new hires, visitors, and departures.

  • Solid knowledge of the corporate workplace, office services and facilities management

  • Experience improving processes to support operational effectiveness

  • Strong analytical and mathematical skills along with attention to detail and accuracy

  • Proficient in Microsoft Office (i.e. Word, Excel, PowerPoint) applications. Ability to pull reports and charts using V-Lookups and Pivot Tables

  • Strong organizational and time management skills

  • Able to multi-task and thrive under pressure in a fast-changing environment

  • Service-oriented, highly responsive and able to adapt to organizational needs

  • Team player with a flexible and proactive attitude

  • Knowledge of Corporate workplace, Health & Safety, Ergonomics

  • Level 2 IWFM and/or business administration qualification

  • Training as a First Aider and or Fire Warden

  • Flexible attitude to working hours/ shifts as required
