Full Job Description

An exciting opportunity has arisen for an enthusiast, committed and passionate individual to join the Reception within the NIHR GOSH Clinical Research Facility Unit.

You will be the first point of contact within a busy department, providing a high level of customer care, work autonomously, priorities own workload and act on own initiative for general administrative service.

Main duties of the job

The post holder will be responsible for checking patients in, scheduling patient appointments and tracking them through GOSH electronic patient records system (EPIC).

The post holder will also provide an administrative service for the research delivery team and contribute to the efficient running of the department.

The post holder will also be responsible for assisting with reimbursement process for the patient will be required to work onsite Monday - Friday 09 : 00-17 : 00., The full job description provides an overview of the key tasks and responsibilities of the role, and the person specification outlines the qualifications, skills, experience and knowledge required.

  • Educated to GCSE or equivalent level, with at least A - C in English and Maths

  • NVQ level 3 / NVQ or equivalent qualification in customer care or business administration (or equivalent experience)


  • Experience / Knowledge

    Essential
  • Previous experience covering reception areas or in a similar customer service environment

  • Understanding of and commitment to the need for confidentiality

  • Experience of administration / secretarial role

  • Awareness of the need for high quality data to support service delivery


  • Desirable
  • Experience working with electronic patient record systems ( Epic)

  • Experience of managing challenging situations with patients and their families / carers

  • Experience working the NHS or similar health & social care setting

  • Experience of data entry


  • Skills / Abilities

    Essential
  • Computer literacy skills - ability to use Microsoft Office including Word, Excel, Powerpoint and Outlook

  • Proven ability to work as part of a team including clinical and non-clinical staff, maintaining excellent working relationships

  • Ability to complete tasks that require concentration whilst dealing with interruptions

  • Ability to communicate effectively with parents, patients and staff at all levels of the organisation

  • Ability to communicate with people from a diverse background with varying learning abilities

  • Ability to work as a team player

  • Excellent verbal & non-verbal communications skills and telephone manner

  • Ability to deal with any conflict within the Reception area

  • Able to make sound judgements, use own initiative and work with minimal day-to-day supervision
