Job Overview

As a member of the Soft Services Team, you will be responsible for executing your duties effectively and efficiently, adhering to contractual requirements. You will be expected to complete the training matrix specific to this role to ensure competency and performance.

Health and Safety Awareness and Knowledge

You must follow the Company's Health, Safety, and Quality (HSQE) procedures and ensure that the Soft Services Team performs their duties in alignment with the HSQE guidelines at all times. This includes a thorough understanding and application of all health and safety policies and procedures.

Communication

Building and maintaining good relationships with the onsite FM Team, Facility Inspectors (FIs), and Client Customers is crucial. Effective communication will support smooth operations and foster positive interactions.

Main Duties

You will monitor the performance of all staff within the Soft Services Team, conducting regular reviews and annual appraisals for direct reports. Inducting and training the Cleaning Services Team in accordance with MITIE Company Policy is a key responsibility. This includes providing specific training on equipment, cleaning practices, and chemical use on site.

Managing the holidays and absences of Cleaning Operatives and Team Leaders is essential to ensure adequate coverage and maintain cleaning standards. You will oversee absence management in line with Mitie policies and procedures, fully understanding the Mitie absence management policy.

In collaboration with the Duty Manager, you will assist in selecting suitable cleaning operatives and maintain accurate staff attendance records. This involves ensuring the Signing-in Register is completed according to contracted hours and reviewing these records daily.

Your duties will include allocating cleaning duties and areas to Cleaning Operatives, ensuring all areas are maintained to meet contract needs and relevant SLAs. You will complete and process the Cleaning Services Team site time sheets within company time restrictions and ensure team members PIN in upon arrival and departure.

It is vital to ensure that Cleaning Operatives adhere to site rules, maintain a smart appearance, and wear the MITIE uniform while performing their tasks. Managing and controlling the issuance and usage of cleaning materials, performing weekly checks of cleaning machinery, and reporting any faults to the Facilities Manager are also part of your role.

Reporting accidents and potential hazards to LifeLine and relevant management, reviewing equipment and storage areas, and ensuring all safety signs are used correctly by Cleaning Operatives are essential responsibilities. You will report any damage and safety defects to the Engineering Help Center and monitor the standard of work of the Cleaning Services Team.

Responding to customer complaints promptly, attending training sessions to update knowledge, and ensuring all areas are cleaned to required frequencies and SLAs are important tasks. Completing stock control and order sheets, delivering toolbox talks, carrying out daily audits, and liaising with Soft Plus Services to resolve fabric faults will also be required.

You will respond to major leaks or incidents as directed by the Duty Manager and undertake any other related duties within your capability, depending on the business's needs.

Candidates must be able to work within the required shift patterns and possess a flexible approach to the role. Proven customer focus and service skills, effective workload prioritization, and strong organizational abilities are essential. The ability to work independently, a good understanding of Health and Safety legislation, and excellent time management skills are crucial.

Candidates should have knowledge of RAMs and COSHH, and ensure compliance with Mitie's information security procedures. Proactive identification and reporting of security risks, adherence to Group and company policies, and proper use of work equipment and personal PPE are expected. Reporting deficiencies in work systems or equipment that could impact service delivery or pose health and safety risks is also required.
