Full Job Description

Organise, plan and prioritise workload.
Operate a telephone system answering queries, taking messages and making appointments in a professional manner.
Provide a high level of administrative and clerical support to clinicians and the dental team
Arrange team meetings, facilitate them, minute taking then circulate to all concerned.
Process mail arriving by post, internal mail and e-mail, following correct procedure for these items.
Ordering Stationary products to ensure supplies are kept fully stocked for the clinic.
Patient records to be maintained accurately and stored in accordance with the data protection act.
Process the invoice and purchase orders for the clinic returning them to HQ on a regular basis.
Prepare patient notes paying particular attention to patients who may have outstanding balances, Liaise with the Dental Nurse to ensure any laboratory work is back in readiness for the patient's appointments.
Ring all patients prior to their appointment to remind them to help reduce the number of Failed to Attends (FTA's).
Keep a short notice cancellation list to hand to be able to fill any appointments that became available.
Process all patient referrals, including updating the patient status within the e:referral system adhering to the 18 week rule
New patient waiting list to be kept up to date and reviewed on regular basis, ensuring waiting time standards are adhered to.

The Special Care Dental Service is part of a countywide service providing NHS Dental treatment to patients on referral. We have clinics across the county, operating Mondays to Fridays, 08:30am to 4:30pm
This position offers a wide variety of administration duties and the opportunity to extend your knowledge of the administration side of the Special Care Dental Service. You will need to be competent in using information technology. A dental software package is used in our clinics and full training will be given.
Previous dental or medical reception/administration experience would be an advantage.
This position is for 4 days a week, of which one day must be wednesday. Other days are open for discussion.
The successful applicant will be based at Crawley Hospital, RH11 7DH
