Full Job Description
We are looking for a friendly, well organised and reliable person to act as Secretary/Receptionist based at St James Clinic , a busy, multi surgery unit which forms part of the Salaried Primary Care Dental Service. We run a computerised patient appointment and record system which is linked to other clinics in our countywide service. An equivalent IT qualification of the ECDL is essential, along with an extensive knowledge of Microsoft Office. Previous experience in an administrative role in a healthcare setting, along with previous experience of the R4 clinical system is desirable The post holder would be recruited to 37.5 Hours, the days and hours would be discussed at interview. The post holder would need to be flexible as to the needs of the service and may need to travel to other service locations when needed,
- Receiving patients at the reception desk and directing them within the clinic
- Arranging patients appointments in person and over the telephone using the R4 computerised patient record and booking system
- Entering patient details and making new and recall appointments on a computerised patient records and appointments system.
- Ensuring that key patient information details are kept up to date on the R4 dental computer system
- Communicating with a variety of people on a number of issues, including dealing with enquiries from the public, doctors and dentists' surgeries and other health/social care professionals within an appropriate timescale
- Giving patients and carers non-clinical advice and information
- Liaising with clinical staff
- Drawing and filing clinical records and preparing day lists as needed.
- Distributing the post
- Maintaining such administrative records as may be required e.g. patient waiting lists, liaising with dental nurses to organise the dispatching and collection of laboratory work, archiving and to log and process referrals as directed by the Senior Management Team on RMS and Provider Dental software systems.
- Ensuring appropriate letters with accompanying information leaflets are sent.
- Designing pro-forma letters, patient information leaflets and other documentation for use in the Dental Department in line with Trust guidelines and Policies.
- Submitting Hospital lists when required.
- Helping with waiting list data.
- Minute taking as when needed.
