Full Job Description

To provide high quality, professional support and secretarial services to the Chief Digital Information Officer and Digital Management Team across the full range of their responsibilities, acting as the main channel for communication between colleagues within the Trust, senior colleagues in external organisations; including but not limited to other NHS organisations, Government Bodies (local and national) and other key external partners such as Local Authorities. The team has responsibility for overseeing and managing the systems and processes which will ensure successful delivery of the Trust strategic objectives. This will be achieved through applying programme management methodologies and risk management approaches to ensure that the Executive Directors, and ultimately the Trust Board, are assured of the progress of the agreed work programmes and that all risks and issues are managed appropriately. The role requires excellent organisational and project support skills, an ability to communicate routine, sensitive, confidential and complex information to staff and managers at all levels within and outside the Trust and an ability to be proactive and take accountability and ownership of the Programme management systems and processes which will govern the transformation delivery programmes.,

  • Proactively manage the CDIO's workload to ensure that all urgent and sensitive issues are dealt with in a timely manner
  • Proactively handle queries and information requests in an efficient manner on behalf of the CDIO
  • Excellent Powerpoint and Excel skills
  • Act as the filter and main point of contact for internal and external contacts, representing the CDIO in an appropriate manner at all times.
  • Handle and communicate complex and sensitive information with the utmost discretion and confidentiality, both internally and externally.
  • Deal with incoming correspondence through mail, email, telephone calls and any other method of communication. Ensure responses are prepared and submitted in a timely manner
  • Open and prioritise emails on a daily basis; formulate draft responses and make further enquiries as necessary. Exercise appropriate delegated authority to act and action responses.
  • Co-ordinate, manage and maintain up to date electronic, which will involve arranging internal and external meetings, conferences, seminars, attendance at training courses. Make arrangements for any subsequent travel, room bookings, accommodation and catering.
  • Prepare draft agendas, collate information, distribute paperwork, track actions and take minutes as required. Transcribe minutes in a timely manner.
