Full Job Description

The team is the responsible for the ensuring Trust staff have the correct level of access for their role to Trusts systems. Maintaining the security of the systems & integrity of the data held within them by ensuring that access levels are always appropriate and up-to-date.
The Registration Authority Agents manage all aspects of user registration on the Trusts clinical systems.
The holder of the post must be familiar with both local trust standards, policies and procedures as well as nationally mandated policies and standards and apply these to the systems supported.
The Post Holder works as part of the Systems Access Team within the Digital Services Application team.
The post holder will work with users of the systems; gaining an understanding their needs/issues in order to be able meet those needs/resolve issues.
The post holder also has to work closely with external agencies/suppliers developing and fostering good working relationships, managing work to ensure that the service received meets National & Trust requirements & standards, as well as ensuring timescales are met and SLA's adhered to., + Day to day administration and management of user access to systems via smartcards in adherence to Registration Authority guidelines
+ Issue/problem resolution via the management of calls via the Digital Services Helpdesk within specified Service Level Agreements (SLA's)
+ Management of relationships with stakeholders and third party organisations
+ Maintain system reference data e.g. Data Collection Workbooks (DCW's)
+ Create and maintain user access support documentation, Day to day administration/management
· Validate new/temporary/locum users with appropriate ID, add new users to the system, and issue smart cards to enable system access
· Remove access rights for users leaving the Trust
· Allocate each user to one of a series of defined user categories and ensure user access rights comply with Trust policies
· Maintain defined user categories
· Amend user access rights when users change roles within the Trust
· Regularly review user access levels and amend systems accordingly
· Schedule and complete regular day to day application administration/housekeeping tasks & procedures
· Develop a full understanding of National & Trust Standard policies, procedures & processes and advise where any system is not compliant
· Implement Trust & External policies, procedures & processes
Provide application guidance and support and issue/problem resolution
· Own & Manage calls logged on the Digital Services Helpdesk to the Access Management Team
· Ensure that Helpdesk workload is managed to ensure that issues are dealt with by priority and SLA's are met
· Triage issues and resolve or escalate as appropriate
· Ensure accurate information is recorded on Digital Services helpdesk call logging system as per Digital Services standard operating procedures
· Provide support and advice on a corporate basis to all levels of staff relating to application enquiries
Management of relationships with 3^rd parties
· To develop and foster good working relationships with the system vendors and any third party contractors associated with the systems
· Monitor performance of 3rd parties and escalate any concerns/issues to the Managed Application Support Manager
Maintain systems reference data (user identification)
· As appropriate own and maintain Data Configuration Worksheets (DCW's)
· Develop a high level understanding of the Integration of the Trusts Applications and the mapping of reference data across the full suite of applications
· Working with system owners, other teams within ICT and other System support teams external to ICT to ensure Reference data is kept up-to-date and accurate and in line with reference data held on other systems
· Ensure that changes are made in a timely manner and in the proscribed order to ensure integration integrity is maintained
· Maintain accurate records of changes to reference data
· Investigate and resolve issues of inaccurate or incorrectly mapped reference data ensuring issues are escalated to all affected parties
Creation and maintenance of user access support documentation
· Maintain and update Digital Services application documentation libraries
· Through a combination of knowledge transfer and training initiatives ensure that there exists an adequate level of knowledge/skills within the team to maintain access to systems when the team members are unavailable
· Ensure business continuity plans are kept up-to-date
Development & Enhancement of the Digital Services Systems
· Act as the Digital Services Access Team lead for designated modules or functional areas
· Work with the Systems solutions & projects teams as appropriate on the design, development, testing and implementation of solutions to problems and business requirements
· Implement approved changes
Other Duties
· Provide cover for colleagues as appropriate
· Assist in producing ad hoc reports and in project work
· Responsible for reporting current workloads and changes to workloads to line manager
· Undertake any other duties requested as appropriate to the banding
· Contribute to Disaster Recovery testing and documentation
General
· When requested act as systems access lead in Trust projects
· Participate in a combination of knowledge transfer and training initiatives to support both personal development and service enhancement
· Advise of issues that should be included in the Digital Services risk log
· Work at an acceptable rate to ensure that support SLA's & project milestones are met
