Full Job Description

We have an exciting opportunity as a Directorate Senior Business Administrator within the Acute and Urgent Care Directorate. The successful candidate will be supporting the Clinical Director and Associate Director for Acute and Urgent Care, as well as the Senior Leadership Team. This is a full-time role of 37.5 hours a week., Works to support the Directorate management team in the co-ordination of Directorate activity and communication. Develops and co-ordinates performance and business management systems and processes to ensure comprehensive service performance monitoring. Line management of the Directorate administration team. A key member of the Directorate Management Team, contributing to the development and co-ordination of performance, business management, quality and information governance systems and processes, ensuring the Trust's vision, strategic aims and service objectives are translated into practice. We would very much welcome applications from all under-represented groups including women, people with disabilities, people from global majority backgrounds, and those from the lesbian, gay, bi and trans communities.Detailed job description and main responsibilities + Manage e-mail, written communications and other channels of communication for the directorate. + Take and distribute minutes of Directorate Business meetings. + Manage meetings and calendars for the directorate management team, with support from the Directorate administration team. + Ordering and support for requisitions and expenditure via Capita finance system. + Line Management of admin team. + Manage and coordinate cross cover of administrative staff to ensure all directorates have admin support during times of leave or vacancy cover. + Develop and deliver reporting mechanisms to support the Associate Director. + Review performance data and advise directorate management team on variance and excellence, identifying key themes. + To establish relevant communication with all levels of service management to enable collection of robust data, and to ensure compliance with statutory requirements. + Support Associate Director in the design, production and delivery of business reports to the Trust. + Undertake and support audits and CQUINS as requested by Associate Director. + At the request of Associate Director, support the process of service development initiatives. + Support the Associate Director in identifying and reporting of variance in performance, supporting appropriate action is taken to support improvements and minimise risks of not achieving targets. + To provide support in the co-ordination of recruitment for the Directorate to include input to TRAC, setting up interviews, ensuring correspondence is sent out etc. + To draft a monthly Directorate Newsletter as a means of communication in relation to news within the Directorate. + To support the management of patient experience reports, complaints, SI investigations and associated administration required, + In the event of exceptionally high levels of response, we reserve the right to close the post before the date stated above in order to prevent the number of applications received being unmanageable.
