Full Job Description

The Trust has just launched its new five-year strategy which sets out our direction of travel, ambitions and priorities for the next five years. The strategy has been co-produced with our staff, our service users, families and carers and our partners. Our vision is to improve mental health wellbeing and we aim to do this through our three newly revised values -Compassionate; Committed; and Inclusive - which will underpin everything that that we do, and the way we do it., To provide efficient, effective and consistent professional support services to the EDI Team and Staff Networks. Support the team to meet quality standards and targets in order to deliver against the Trust Strategy and People Plan
Responsible for providing project and administrative support to the EDI Team and Staff Networks, providing and coordinating a comprehensive support service to its multiple projects, including: monitoring project progress, facilitating and arranging meetings, providing general administration including acting as first point of contact for all project enquiries. Responsible for ensuring Comms and EDI/Staff Network Pages are maintained and updated.
The post holder will be managed by the Senior EDI Lead, whilst supporting the Associate Director for EDI and OD with administrative support, in particular: maintaining information and resources for the multiple projects, monitoring and reporting on progress projects from inception to closure and ensuring that they maintain effective systems of communication with colleagues. Work closely with Comms Team to ensure outgoing communications in a professional manner on behalf of EDI Team and Staff Networks, The post holder will be responsible for undertaking a wide range of administrative and project support which include
+ Provide coordination and support in order to deliver the projects within the EDI Team
+ Support the EDI Team/Staff Networks with the day-to-day administrative tasks to support the delivery of projects.
+ Provide administrative support to AD of EDI and OD
+ Support the maintenance of library of resources, project documents, local governance systems and other local related IT systems.
+ Be familiar with the aims, change activities and measures of success of each project within the overall EDI agenda.
+ Support the Team in the development of their project plans
+ Maintaining and updates webpages for both EDI Team and Staff Networks
+ Be the main contact for uploading news items on Connect for EDI Team and Staff Networks
+ Maintain EDI Team and Staff Network Inboxes
+ Support and Facilitate Training and Trust Induction when required
Communication
+ To act as the focal point of contact and be responsible for the dissemination of information, messages and enquiries, resolving queries, taking messages and communicating them in a timely and effective manner as appropriate.
+ Liaising with multi-disciplinary team members, and any other appropriate external agencies.
+ Arranging meetings, taking actions of meetings and circulating the documentation in a timely manner.
+ Maintaining good working relationships with all members of the team, ensuring a full and effective communication system is achieved
· To be responsible for ensuring confidentiality is maintained at all times in accordance with the data protection act, trust policy and good practice.
Organisational
+ Responsible for providing a confidential administrative service to the Team Managers and Team.
+ Word/text processing, as required, to include digital dictation, prioritising the workload whilst ensuring a high degree of accuracy.
+ Organise and attend venues and timetables of forthcoming meetings.
+ Be expected to undertake necessary routine correspondence under their own initiative (with minimal supervision) and to prioritise their own workload on a daily basis, responding quickly and appropriately to urgent queries and referring to the team where appropriate.
+ To contribute and work towards the service/organisational aims and objectives.
+ Be responsible for reading, understanding and complying with all relevant trust and statutory policies and procedures
+ The post holder as an individual is required to understand their responsibility for respecting and promoting issues of equality, diversity and rights in accordance with good practice and legislation.
+ The post holder is responsible for maintaining and conducting oneself in a professional manner towards colleagues and external organisations
+ Be required to use Trust Software, including Microsoft Outlook to receive and send electronic-mail as required.
+ Be responsible for ensuring they are proficient in the use of Microsoft Office Software, including Word, Excel and PowerPoint packages for corresponding, storing and producing documents and information as required.
+ Monitor data quality and report / adjust as is required to maintain high standards of data information. Monitor team mailboxes as directed.
+ Supporting specific projects as required by the Manager.

Training
+ The post holder will attend appropriate in-house training courses as required., + The post holder will be required to participate in the collection of data where appropriate.
+ The post holder is responsible for participating in and contributing to new ways of working and service modernisation where appropriate.
+ To attend Mandatory and Statutory training as directed and in accordance with Trust frequency timelines.
To undergo any professional training courses required to enhance knowledge and skills to uphold qualifications required for the post

Please note, if applicable for your role you will be required to cover the cost of your DBS certificate. This will be deducted from your salary over 3 months. You will also be required to sign up to the DBS Update Service before commencement with the Trust.
All successful applicants will be required to complete the Trust's induction programme. The Fundamental (Statutory and Mandatory) training will be in an e-learning format. You will be required to complete training modules online (approx. 9-14 hours depending on post) by the end of your first week with us.
