Full Job Description
Responsible for: providing the support to HealthRoster services across the Trust through Data Gathering, System setup, Staff training and Completion documentation. The Post holder(s) will be assisting the eRostering team on the HealthRoster Rollout Project which aims at implementing HealthRoster system into all the areas/units in the organisation. The postholder(s) will liaise with Heads of Nursing (HON), Operations Leads and other professional heads from Divisions to complete the implementation of the rostering system under the supervision on eRoster Manager. The post holder(s) needs to develop their knowledge on HealthRoster and other Allocate systems and work towards different accreditations and certifications.Main duties of the job Work as part of the eRostering team to ensure that the team provides an exceptional support for the staff members who are using HealthRoster / Employee Online / SafeCare etc. To learn about HealthRoster and other associated products (SafeCare, EOL, BankStaff etc) through Allocate Academy (Learning Portal of Software provider) and working with the eRostering team. To compare the staffing data between HealthRoster and ESR and highlight any issues as and when you observe the same. To create Team on Rosters, assign Staff to teams, create Personal working Patterns, Skills, Annual Leave entitlements, and User accounts for each unit based on Data Gathering workbook. To work along with the eRostering team to create in house Staff training materials, Quick Reference Guides (QRG) and work with the Learning & Development team to ensure staff profiles are correctly updated. To take direction from other members of the eRostering team relating to the maintenance, support, and development of the system. To provide general clerical support as required enabling the office to function effectively and providing admin support to eRostering related meetings/forums as directed. Liaise with IT, Workforce Intelligence team, Payroll and HR to ensure data cleansing and system alignment in order to realise maximum efficiency of the system., To learn about HealthRoster and other associated products (SafeCare, EOL, BankStaff etc) through Allocate Academy (Learning Portal of Software provider) and working with the eRostering team. To assist the eRostering team in ensuring that HealthRoster databased are maintained in accordance with Trust HealthRoster & SafeCare policy. To provide general clerical support as required enabling the office to function effectively and providing admin support to eRostering related meetings/forums as directed. Liaise with IT, Workforce Intelligence team, Payroll and HR to ensure data cleansing and system alignment in order to realise maximum efficiency of the system. To generate, validate and disseminate workforce and systems performance and compliance KPI data. To gather and collate extensive data from Health Roster and use Excel to provide reports on rollout status and road ahead. To provide support to eRoster SafeCare Lead and other stakeholders in identifying improvement opportunities. To provide cover for colleagues in the e-Rostering Team during periods of absence. To highlight to the Project Team where rostering guidelines are not being applied equally and effectively across the workforce.
- Good education to Graduation or equivalent standard
- Experience of using HealthRoster and BankStaff
- ECDL qualification with proficient use of Microsoft Office Desirable criteria
- Specialist knowledge of Allocate Software products, Previous experience of working with Allocate Health Roster systems.
- Deliver training to staff members and new starters in eRoster team
- Skilled in Establishment management, Roster Reviews and Roster Scrutiny
- Previous experience of working in NHS Administrative setting
- Ability to work on own initiative and work with minimal supervision
- Should be willing to travel to different clinical locations based on the job requirement
- Deal with confidential and sensitive information appropriately Desirable criteria
- Experience of working in project teams as a support team member
