Full Job Description

We are looking to appoint an estates and operationsadministrator to work as part of our in-houseestates and facilities team. This is a full timeposition, working throughout the year. You will beresponsible for managing records, coordinatingmaintenance requests, handling communicationsrelated to facilities operations, and ensuring smoothday-to-day operations of the school's estate.Estate Compliance

  • Scheduling of estate compliance inspections and
  • remedial works with external contractors
  • Record keeping for all estate compliance related
  • mattersOperations
  • Allocation of tasks to the housekeeper on the
  • facilities management system
  • Scheduling of all event set ups and striking, for
  • the facilities team
  • Responsible for booking all minibuses for the
  • school run / sports fixtures and trips and to update recharge information
  • Arranging driver awareness training for those

  • Ensure that all vendor work is performed
  • according to agreed-upon standards and maintain relevant documentation (e.g., contracts, work orders)
  • Coordinate fire drills, evacuation procedures, and
  • emergency preparedness training for staff and students
  • Act as the first point of contact for emergency
  • situations affecting the school's facilities (e.g., plumbing issues, power outages, accidents)
  • Admit visitors at the main gate via the secure
  • entry system and the issuing of passes as required to visitors and all contractors
  • Ensure that all staff and contractors complete a
  • new arrivals form
  • Raise purchase order requisitions.
  • Management of housekeeping store
  • General
  • Assist the head of estates and operations
  • and the facilities manager with general administration
  • Procurement of goods for the entire estate
  • department
  • Processing of invoices.
  • To chair the weekly operational departmental
  • meeting
  • Minuting of departmental meetings.
  • Scheduling of staff training
  • Manage relationships with external contractors
  • and vendors for services such as cleaning, landscaping, pest control, and waste management
  • Schedule and oversee the timely completion
  • of maintenance, repairs, and other necessary servicesSecurity
  • Ordering and issuing of security passes for
  • approved personnel
  • Ordering of security passes for pupils.
  • Updating the security system once passes are
  • issued
  • Liaising with the caretakers and issuing keys to

  • Proven experience of working in a professional Strong team player with excellent interpersonal
  • office environment as an administrator or similar skills and the ability to build strong working
  • Good standard of education, especially in relationships at all levels
  • English and Maths at least to GCSE level
  • Excellent verbal and written communication
  • Strong organisation and time management skills skills
  • with the ability to be proactive, resourceful,
  • Excellent IT skills with good working knowledge
