Full Job Description

Management of the spaces available to hire within the school to the general public. There are a variety of spaces that are available to hire - from the sports halls to all weather pitches, halls and theatre spaces. The post holder would be expected to manage the hiring of these spaces - From meeting the client following the enquire to providing a cost, booking them and overseeing the event. Events would vary from sports bookings (netball, football etc.) to events (weddings, birthday parties etc). To have over-all responsibility for all events. To liaise with Security and keep them informed of what events are taking place each weekday evening and at the weekends. To ensure that they are supported in their role during the evenings. What you'll be doing:

  • To manage the set up the courts for tennis, basketball, volleyball etc
  • To provide daily details of activities taking place to Security so that they are aware of which groups will be on site in which areas
  • The management of payments process - accepting payments, issuing refunds etc
  • Management of the TPI finance account - P&L
  • Implementing the budget, invoicing and logistics
  • Grow the TPI business to ensure it is profitable.
  • Meet and greet clients - showing them the site and booking in the events.
  • To liaise with any new clients for weekday events or other one-off events and to give costs etc to the client.
  • Ensure the facilities are in a good condition prior to use.
  • Inspect the areas and equipment used following hire activities and report any issues to the Helpdesk.
  • Management of the arrangement of the cleaning provision to the areas used including communal areas such as corridors and lobbies. Ensure TPI lettings has no impact on the school's usage of the building.
  • To empty any litter bins and dispose of the rubbish to the compactor.
  • Promoting a safety culture and ensuring you are aware of and comply with all client and company health & safety procedures and standards at all times.
  • Following safe working practices in carrying out the required duties and ensuring that instructions specified by technical consultants, contractors and manufacturers are adhered to.
  • Carry out security procedures for the building, facilities and grounds, i.e. lock/unlock doors, activate/deactivate alarm equipment and liaising with the police and authorities as required.
  • Support response for out of hour's emergencies, 1st Response on days when you have locked up following TPI, 2nd Response at any other time unless previously agreed.
  • Communicating with the Management team to understand clear work objectives, maintain positive team work, share and solve problems and follow a positive safety culture.
  • Carrying out Fire Marshall Duties.
  • Carrying out other reasonable requests made by your line manager including working in areas other than those which you are accustomed.
  • Working with the marketing and public relations departments to prepare budgets, setting deadlines, creating concepts and identifying the objectives of the event
  • Selecting and negotiating with vendors and monitoring their activities to ensure quality control
  • Managing the promotions, communications and branding aspects of the event
  • Supervising Caterers, Junior Event Coordinators and security teams
  • Resolving problems and guest inquiries before and during the event
  • Approving all activities for the event

    Good spoken English and moderate literacy and numeracy skills
  • Ability to organise, prioritise, and manage tasks to deal with the day to day demanding environment
  • High standards of cleanliness and well presented
  • In-depth understanding of event management procedures
  • Excellent organisational and coordination skills
  • Outstanding communication and negotiation skills
  • Proficiency in digital event promotion tools such as social media channels
  • Customer service skills
  • Understanding of key performance indicators in events management
  • Proficiency in project management tools
  • Excellent multitasking and task prioritisation skills
  • In-depth knowledge of public relations, hospitality management, project management and product development
  • Previous experience with local rules and regulations guiding social and corporate events, human resources management and vendor management
  • Desirable
  • Experience working in a school environment.
  • Experience in leading a team to deliver high standards
  • Foundation degree, higher national diploma or degree in events management, communications, marketing or advertising
  • Level 2 Certificate in Event Planning or a Level 3 Certificate in the Principles of Event Management
  • Event Coordinators from the marketing or public relations department
  • Experience in marketing, hospitality or public relations
