Full Job Description

We are looking for an events Project Manager who will be responsible for the planning and implementation of new and substantially changed immunisation events programme tours including the UKHSA National Immunisation Programme annual conference (NIN25). This involves the coordination of activities across multiple organisations, and you will work with the Publications Manager to bring together expertise, skills and resources to ensure delivery of the programme. The role sits within the Immunisation Programmes Division which is responsible for the national surveillance of most vaccine preventable infections and hepatitis. Each immunisation programme has a suite of essential publications which must be promoted to health providers and stakeholders across the country. This activity is supported by an annual programme of public health conference attendances and contribution to the agendas of these conferences by the consultants working in the department. This is an ambitious programme tour of up to 40 events per year. The Immunisation events tour is predominantly face to face events located in towns and cities across England. Attendance in person is an expected part of the role. Travel and accommodation are provided within civil service terms. Main duties of the job The annual national immunisation network conference is the highlight to the tour of events. This is a scientific and operational meeting which showcases hot topics, the latest data in immunisation, policy analysis and best practice. It is attended by screening and immunisation teams involved in implementing the national programme. The audience also includes a broad range of members of the health family, epidemiologists, clinical public health experts, leaders and commissioners from across the NHS, DHSC and stakeholders.,

  • Support the Immunisation publications manager to deliver the UKHSA National Immunisation Conference, and other event projects working to UKHSA guidelines, policies, procedures and protocols
  • Manage the day to day running of the event project(s), leading it to deliver agreed outcomes within time, cost and quality constraints.
  • Oversee the logistics of the conference(s); including venue, catering, audio-visual, ePoster and exhibitor management
  • Coordinate with external suppliers to ensure smooth delivery of all conference elements
  • Liaise with external event suppliers, negotiate cost effective terms and ensure our immunisation stand and stock are displayed and promoted in a timely and professional manner
  • Produce event project documentation and key branded materials consistent with other event projects within the programme.
  • Build event project plans and apply appropriate delivery methodology, setting project controls, track and report against milestones, escalating project slippage accordingly.
  • Develop effective relationships with key stakeholders, event providers, logistic teams, catering and academic and keynote speakers
  • Identify and monitor event project risks and issues, developing mitigating actions and escalation process.
  • Provide risk assessments and other project reports for events and support effective governance and decision making.
  • Present to project and programme boards on the progress of the event project or to varied stakeholder groups.
  • Liaise with external event software providers to explore new updates and innovations for elements such as event website building, registration, finance management and development of the conference app or new technology
  • Set up effective change management processes, risk mitigation strategies and event failsafes and communicate them effectively to all stakeholders at pace to complete all the project deliverables.
  • Support project assurance and audit, including development of post-conference reports, including a budget analysis, feedback from attendees, and key takeaways
  • Work within agreed budgets, negotiate with suppliers and assist in the maintenance of records of costs and revenues
  • Promote individual and team performance, seek appropriate guidance and coaching from the immunisation publications department
  • Contribute, where necessary, to immunisation publications related correspondence ensuring they are handled expeditiously.

The Job holder is expected to accept reasonable alterations and additional tasks of a similar level that may be necessary., This role is being offered as hybrid working based at both our office in Colindale and Canary Wharf. We offer great flexible working opportunities at UKHSA and operate using a hybrid working model where business needs allow. As a hybrid worker, you will be expected to spend a minimum of 60% of your contractual working hours (approximately 3 days a week pro rata, (averaged over a month). Eligibility Criteria Open to all external applicants (anyone) from outside the Civil Service (including by definition internal applicants). Security Clearance Level Requirement Successful candidates must pass a disclosure and barring security check. If based at one of our scientific locations you will be required to have a Counter Terrorism Check security vetting check as a minimum. For meaningful National Security Vetting checks to be carried out individuals need to have lived in the UK for a sufficient period of time. You should normally have been resident in the United Kingdom for the last 3 years as the role requires Counter Terrorism Check (CTC) clearance. In exceptional circumstances UK residency less than the outlined periods may not necessarily bar you from gaining national security vetting and applicants should contact the Vacancy Holder / Recruiting Manager listed in the advert for further advice.

  • Educated to post-graduate degree level in relevant subject or equivalent level of experience of working at a similar level
  • Good written and verbal communications and organisation skills
  • Experience of event development and realisation, including on the day of production supervision and delivery
  • End to end planning, implementation and evaluation experience for events of various sizes from 20 to 500 delegates
  • Experience of using event software to build events websites including HTML
