Full Job Description
1) To work with the Events Working Group (EWG) to deliver, manage and attend the council's two annual community events June - Big Lunch at the Riverside Fair, October - Autumn Fair and Christmas Market.
2) To ensure all insurance, health and safety and licensing obligations are adhered to and that risk management procedures are in place and followed
3) Develop and manage budgets for events, ensuring cost-effectiveness and financial sustainability.
4) To ensure events are delivered within budget and that all procurement/financial regulations are followed
5) Identify and co-ordinate the integration of communities and partners into events
6) Actively participate in on-site event management, ensuring smooth operations and a positive experience for attendees
7) Actively assist in the development of creative event concepts, themes and entertainment ideas
8) Liaise with vendors, suppliers and community stakeholders to ensure successful event partnerships, always seeking best value
9) Contribute to post-event evaluations and feedback processes for continual improvement
10) Maintain accurate records and databases related to events
11) To manage financial processes relating to purchasing and invoicing of event suppliers
12) Develop and implement an events calendar to attract diverse audiences. Manage one-off/special events as agreed, for example to support national campaigns or recognition days i.e. Dementia Awareness Week, Diwali etc.
13) Create and implement marketing strategies for events, utilising a variety of channels to maximise event visibility
14) To recruit and manage volunteers to support council event delivery as required
15) To prepare reports for, and attend Events Working Group meetings as may be required
16) To undertake training and professional development relevant to the role of Events and Services Officer.
Service Support
17) To coordinate and promote the monthly Farmers Market, play sessions including Rugby and football sessions, Best Kept Village Competition and Community award
18) To coordinate distribution of SSTC owned Litter picking equipment and liaise with MKC on collection.
19) Landscape contract: Administration (including query resolution) and supporting the Deputy Town Clerk to monitor the landscaping contractors work in line with the Key Performance Indicators.
20) Allotments: To co-work with the Deputy Town Clerk on allotment administration including site inspections.
21) Asset inspections and monitoring
22) Bookings Administration for the 5-7 Church Street building
23) monthly Health and Safety checks of 5-7 Church Street alternating with the Deputy Town Clerk
24) weekly checks of the fire alarm in liaison with the library alternating with the Deputy Town Clerk
25) Alternate with the Deputy Town Clerk to attend monthly Full Council meetings.
General duties and responsibilities
26) To promote the council's reputation and services with residents and help increase customer satisfaction
27) To work in accordance with the values and objectives of the Council.
28) To work with the Information Officer to produce and present reports and recommendations to the Council on its events and community engagement strategies
29) To assist the Town Clerk and Deputy Town Clerk in maintaining compliance of the Council's data management procedures.
Administrative duties:
30) To open incoming mail, answer telephone enquiries and deal with as appropriate, signposting callers/visitors where necessary to the relevant Milton Keynes Council departments or elsewhere.
31) To copy and file statutory communication from Milton Keynes Council, other government agencies and organisations that Stony Stratford Town Council subscribes to in accordance with current policies.
32) To assist the Clerk/Deputy Town Clerk with duties such as maintaining office systems by updating diaries, calendars and ordering stationery.
33) To assist the Clerk & Deputy Town Clerk in administering meetings by preparation of agendas and documents for consideration.
34) To provide cover for the Council office at key times when open to the public and as an emergency contact at designated times.
35) To undertake training courses relevant to the role.
36) To undertake such duties appropriate to the post as directed by the Town Council and the Clerk.
