The Trafford and Stockport College Group (TSCG) has an opportunity for an experienced Exams Assistant to join the Exams team to help us achieve our vision of unlocking potential and fostering success. We are looking to recruit a highly motivated and dedicated Exams Assistant to be a part of our growing team. The successful candidate will be primarily based at our Altrincham campus but may be required to travel across sites. The Role:

  • Provide a comprehensive and customer-focused exams and accreditation administration service across the College Group. You’ll be at the heart of ensuring our students have a smooth and supportive examination experience.
  • Support all aims and objectives of The Trafford & Stockport College Group, contributing to a positive and collaborative environment.
  • Demonstrate a ‘can do’, positive attitude with all stakeholders, raising any issues immediately with the Examinations Team Leader for review. Your proactive approach will help maintain high standards and efficient processes.
  • Support with the general administration in relation to all examinations taking place within your agreed area of work, including both paper-based and online examinations. Your attention to detail will ensure everything runs smoothly.
  • Provide accurate and timely administrative support in relation to the examinations service, including leading on all communication received via your area examination email inbox. Effective communication is key to our success.
  • Work flexibly and support other areas of MIS and Exams during peak periods of work. Your adaptability will be crucial during busy times.
  • Contribute to the improvement of systems and procedures across the department. Your innovative ideas will help us continuously improve.
  • Process registrations, exam entries, and results via the Student Records System and Awarding Body websites. Review and resolve any errors to ensure that submissions are accurate. Your precision will ensure our records are always up-to-date.
  • Be proactive in providing information to teaching and administrative staff concerning examination arrangements. Your clear communication will keep everyone informed and prepared.
  • Provide administrative support including checking exam entries and timetables, preparation of exam stationery and venues, dispatch scripts to examiners, and process result slips and certificates. Your organizational skills will be essential.
  • Check and log receipt of examination papers and registers in line with JCQ requirements. Your diligence will ensure compliance with all regulations.
  • Liaise with students, Learner Support, awarding bodies, and curriculum colleagues to ensure that students with additional support needs receive appropriate access arrangements. Your empathy and coordination will make a difference.
  • Support arrangements for the invigilation of examinations as required, undertaking invigilation duties as needed. Your presence will help maintain a fair and orderly exam environment.
  • Support the administration and supervision of online exam testing. Your tech-savvy approach will be beneficial.
  • Process achievements received from awarding bodies, updating the ILR and apprenticeship records, and sending certificates to students. Your efficiency will ensure students receive their results promptly.
  • Respond to enquiries from students, staff, and external bodies or refer as appropriate. Your helpfulness and responsiveness will be appreciated by all.
  • Maintain a current understanding of exam board regulations and processes via board websites and training. Your commitment to staying informed will keep us compliant.
  • Support the MIS Team at key points throughout the year with enrolment activity, as agreed with the Examinations Manager. Your teamwork will be vital during these periods., All employees, including senior managers, will normally be appointed to the minimum point of the pay grade for the job. In certain cases, it may be appropriate to appoint to a higher point in the pay grade at the discretion of the Director of HR & Performance due to the candidate’s current salary, experience or qualifications.

  • You will need:
  • A Level 2 qualification in IT, Business or Administration, or experience to demonstrate these skills.
  • Maths and English at level 2 or equivalent
  • High level of security and confidentiality awareness
  • High level of customer care awareness
  • Awareness of Data Protection regulations
  • Recent relevant experience in an office environment, ideally with experience of working in an Exams Office and experience working in Further Education
  • Good IT skills, including Microsoft Office
  • Ability to follow procedures and carry out tasks.
  • The ability to work effectively under pressure to meet deadlines.
  • Highly organisational skills with meticulous attention to detail
  • The ability to input data with accuracy and speed.
  • Excellent verbal and written communication skills
  • The ability to work on own initiative as well as being a motivated and committed team player.
  • The ability to co-operate and collaborate with staff from within and outside the department.
  • The ability to travel between locations.
  • A flexible attitude towards duties and responsibilities
  • Understanding of, acceptance and commitment to the principles of human rights and equality and how they underpin practice.
