Full Job Description

In this exciting and challenging position as an Executive Administrative Assistant you will be working closely with senior leadership team and variety stake holders to ensure seamless daily operations., Responsibilities may include the following and other duties may be assigned,

  • Efficiently manage the Vice President diary on Outlook, scheduling appointments for the leader and the leadership team
  • Arrange and coordinate travel plans, including booking accommodations and transportation
  • Proactively anticipate and plan for needs, making spontaneous adjustments to travel, meetings, or other requirements as needed
  • Oversee internal communications by collaborating with internal and external stakeholders, such as coordinating Town Halls, Supply Calls, Newsletters, and team updates.
  • Foster collaboration by working closely with team members, other operating units, and managing various procedures involving customers and internal stakeholders
  • Organize and attend meetings (both virtual and in-person), ensuring the Operating Unit Leader is fully prepared. This includes arranging schedules, preparing agendas, catering menus, and managing room and equipment setup
  • Tackle highly complex assignments and take responsibility for leading daily operational tasks and projects

    A commercial degree, business administration education, or an Executive Administrative Assistant training background (or equivalent) or proven experience in an administrative support role, ideally working directly with upper management
  • Proficiency in business tools such as Microsoft Office Suite (MS Teams, Outlook, Word, Excel, and PowerPoint), with a quick aptitude for learning new software and systems
  • Fluency in spoken and written English is required; additional language skills (e.g., French, German, Spanish) are a strong advantage
  • Exceptional time-management skills with the ability to organize and coordinate multiple projects simultaneously
  • A proactive, adaptable, and flexible approach to challenging situations
  • Willingness to travel up to approximately 25%
