Full Job Description

As an executive assistant you will provide a range of secretarial, administrative, and organisational support services to the MAG Executive Committee (ExCo). Working closely with the Senior EA you will assist with Board meetings, including preparation and minute-taking.

The role also involves PMO responsibilities such as managing and monitoring projects, and ensuring actions are delivered and completed.

Executive assistance:

As an Executive Assistant, you will play a key role in supporting the MAG Executive Committee with various secretarial, administrative, and organisational tasks.

You will be responsible for organising diaries, travel arrangements, meetings, agendas, and minutes, as well as managing and monitoring projects and actions. You will also handle incoming and outgoing communication, including mail, phone calls, emails, and customer complaints, ensuring that all enquiries are dealt with promptly and professionally.

You will provide hospitality for visitors, process expenses, and provide light touch IT support. Additionally, you will work to support other office locations across the Group with direction and guidance on MAG policy and process.

PMO:

You will oversee projects within the Group, making sure they adhere to time, budget, and quality criteria. You will develop and revise project plans, schedules, and reports, and communicate them with stakeholders.

You will also organise project meetings, document, and track action items, and watch project performance and risks. You will maintain an action tracker for all tasks and projects and report to the ExCo member frequently. You will also make sure that all project documents are up-to-date and available.

This role requires you to have outstanding organisational skills and high-level IT and technical skills, particularly in MS Teams, Outlook, Word and PowerPoint.

You will be able to demonstrate your ability to cope well with urgent and multiple deadlines and adjust to a rapid and changing work environment. You will also have excellent attention to detail and prioritise your tasks efficiently, as well as being a proactive and motivated person who can interact and persuade stakeholders at all levels.

This role requires you to handle sensitive information. As a result, you must maintain confidentiality at all times.
