Full Job Description
As an Executive Assistant, you will be the right hand to our Executive Director and provide critical support to other senior executives. You will manage a wide range of administrative and executive support-related tasks, ensuring the leadership team operates efficiently and effectively. This role requires a proactive, detail-oriented, and highly organized individual who can handle confidential information with discretion. - Calendar Management: Efficiently manage complex calendars, including scheduling meetings, resolving conflicts, and ensuring the leadership team is well-prepared for all engagements
- Email & Communication Management: Screen and prioritize incoming communications, draft responses, and manage correspondence on behalf of the executives
- Travel Coordination: Arrange domestic and international travel, including flight bookings, accommodations, itineraries, and expense reporting.
- Meeting Support: Organize and prepare for meetings, including setting agendas, taking minutes, and following up on action items
- Project Support: Assist with special projects, providing research, data analysis, and support as needed
- Event Planning: Organize internal and external events, from team meetings to larger company-wide events and off-sites
- Stakeholder Management: Act as a liaison between the Executive Director, senior leadership, and key internal/external stakeholders
- Document Preparation: Create, edit, and manage documents, presentations, and reports with a high degree of professionalism and accuracy
- Confidentiality: Handle sensitive information with the utmost discretion and confidentiality
- Office Management: Assist with general office management duties as required, including ordering supplies and coordinating with vendors
Experience: 5+ years of experience as an Executive Assistant, preferably in a startup or fast-paced environment. - Remote/distributed + global work experience: Expertise in async work and collaboration.
- Technical Skills: High level of proficiency with our tech stack: Mac, Slack, Notion, and Google Workspace
- Communication: Exceptional written and verbal communication skills, with the ability to interact effectively with all levels of the organization
- Organization: Strong organizational skills with the ability to multitask, prioritize, and meet deadlines in a fast-paced environment
- Problem-Solving: A proactive approach to problem-solving with strong decision-making capability
- Discretion: High level of integrity and discretion in handling confidential information
- Adaptability: Ability to thrive in a rapidly changing environment and manage ambiguity
