As an Executive Assistant, you will play a critical role in supporting the President and the Leadership Team by managing daily operations, coordinating key projects and events, and liaising with both internal and external stakeholders. The President's agenda is often complex, requiring someone adept at handling multiple priorities, managing tight deadlines, and maintaining exceptional performance under pressure. Given the dynamic nature of the President's responsibilities, the ideal candidate must demonstrate a high degree of flexibility, adaptability to shifting priorities, and the ability to navigate evolving challenges with extreme professionalism. This role may require working outside of usual business hours on occasion.How you'll Contribute The core duties of an Executive Assistant typically include: Calendar and Schedule Management:

  • Managing the Presidents's calendar by scheduling meetings, appointments, and events.
  • Prioritizing and coordinating the Presidents's time to ensure optimal efficiency.
  • Meeting Preparation and Coordination:
  • Organising and preparing materials for meetings, including agendas, presentations, and briefing documents.
  • Coordinating with internal and external stakeholders to ensure seamless communication and meeting logistics.
  • Travel Arrangements:
  • Organising and coordinating domestic and international travel, including flights, accommodations, and itineraries.
  • Managing travel-related documentation such as visas and expense reports.
  • Communication Management:
  • Acting as the primary point of contact for the President, managing email correspondence, phone calls, and messages.
  • Drafting, reviewing, and editing communications on behalf of the President.
  • Administrative Support:
  • Handling administrative tasks such as document management, filing, data entry, and maintaining records.
  • Preparing reports, spreadsheets, and presentations as required.
  • Project Coordination:
  • Assisting in the planning, execution, and monitoring of special projects.
  • Ensuring project deadlines are met and collaborating with different departments.
  • Event Planning:
  • Coordinating corporate events, meetings, and conferences.
  • Handling logistics, invitations, venues, and on-site management.
  • Expense Management:
  • Processing and managing expense reports, including budget tracking, reconciliation, and invoice approvals.
  • Confidentiality and Discretion:
  • Handling sensitive information with the highest level of confidentiality and professionalism.
  • Protecting the executive's privacy and managing confidential documentation.
  • Stakeholder Liaison:
  • Serving as a liaison between the executive and internal/external stakeholders.
  • Maintaining strong working relationships with key individuals and departments.

    We are seeking a highly experienced Executive Assistant (EA) to support the President of Civil Aerospace, based in Bristol. The EA will report directly to the Senior Vice President of Human Resources for the Civil Business Line, while maintaining close collaboration with the President. This role requires exceptional organisational skills, professionalism, and the ability to manage high-level executive support within a dynamic environment., These duties require strong organisational, communication, and multitasking skills, along with the ability to work in a high-pressure and dynamic environment, Experience working within a large complex business, preferably manufacturing, or of industrial nature.
  • Ability to work independently and proactively, with a keen sense for prioritising tasks and offering practical solutions.
  • Excellent communication skills and a well-developed sense of organisational dynamics, comfortable collaborating with colleagues at all levels.
  • Flexibility and the ability to adapt to shifting schedules, and handling ad hoc changes.
  • Exceptional planning and coordination abilities.
  • A confident, resilient personality, able to thrive in a fast-paced environment.
  • Proficiency in Microsoft Office, particularly MS Outlook, MS Word, and MS PowerPoint.
  • Strong written and spoken proficiency in English
  • Availability to work full-time in the office, with occasional travel as needed.
  • Desirable:
  • Proficient in Dutch as a second language
