Are you a highly organised professional with a talent for multitasking and a passion for making a real impact? FM Conway is seeking a Executive Assistant to support our CEO and CFO. This is a fantastic opportunity to step into a pivotal role, where you'll ensure the seamless operation of our executive functions by managing complex schedules, safeguarding confidential information and empowering our leaders to focus on driving success. This is a permanent, full-time position based from our head office in Sevenoaks, Kent.

The duties of the Executive Assistant role will include:

- Providing administrative support to the CEO and CFO, enabling focus on business strategy and operational efficiency

- Organising complex schedules including meetings, travel arrangements and events

- Acting as the primary contract for correspondence, managing the CEO's emails and responding on behalf when appropriate

- Preparing and distributing agendas, taking minutes and ensuring follow ups on board actions after board meetings

- Assisting in researching, preparing and managing documents for board projects, ensuring alignment with the business goals each month

- Planning and managing annual strategy days, client visits and attendance at events

- Maintaining the highest level of discretion and safeguarding sensitive information whilst ensuring adherence to company policies

What skills and experience do you need?

We are seeking a highly organised, adaptable, and intuitive Executive Assistant. You will have proven experience as an Executive Assistant or Personal Assistant, preferably to a CEO or Senior Leadership team, with a track record of managing complex schedules, coordinating high-level meetings, and handling sensitive information with discretion. You will thrive in a fast-paced environment, anticipating needs, resolving issues proactively, and ensuring the CEO and CFO time is optimized for strategic priorities. Strong communication skills, attention to detail, and the ability to juggle multiple responsibilities are essential for success in this role.
