Full Job Description

This is an exciting opportunity to join the COO Business Support team, supporting Deputy Directors within the COO directorate. This role requires someone with a collaborative, constructive and positive attitude who will be able to work effectively with colleagues in COO and across the wider department. This is a varied role in a fast-paced environment and will require someone who is flexible, organised, and motivated. The role involves managing competing priorities, processing information quickly from emails and liaising effectively with a range of GPA's stakeholders. The role also provides the opportunity to develop and be involved in key projects and change initiatives across the COO Directorate. Please note that travel to Birmingham (our HQ) and London will be required as part of the role requirements. Key Responsibilities As an Executive Administrative Assistant, your responsibilities will typically include providing support to Deputy Directors within COO, the team, clients and your wider GPA colleagues. Responsibilities include but are not limited to

  • Effective time management to support the Deputy Directors to facilitate their day-to-day needs by providing high-quality proactive support. Also ensuring that the teams engagement meetings are effectively administered, organising logistics and ensuring materials are commissioned, produced and provided to support meetings/events.
  • Deliver a full diary service to the Deputy Director ensuring it is co-ordinated and well managed. In doing so, prioritise and make decisions around the schedules, resolving queries and acting as a first point of contact, and identify complex issues for the Deputy Directors attention.
  • Professional administration support for the Deputy Directors including managing the flow of work, maintaining trackers, creating and managing purchase orders and reviewing and prioritising incoming correspondence and actioning tasks and requests.
  • Driving and coordinating activities on behalf of the Deputy Director by effectively motivating and influencing others to ensure their priorities are understood and acted upon. This will include understanding governance, risk and data requirements ensuring time is planned for the Deputy Director to review submissions.
  • Anticipating future business needs to enable the Deputy Director and their Senior Leadership Team to operate effectively and efficiently, analysing business issues/problems and either implementing or recommending solutions.
  • Co-ordinating commissions from COO Senior Leadership Team that will feed into larger returns ensuring commissioned material is received on time and is of acceptable quality. Identifying requirements, sources and gaps, minimising the direct impact on delivery teams.
