Full Job Description

Open only to applicants from Hampshire & Isle of Wight NHS system, which is limited to NHS Hampshire and Isle of Wight, Southern Health Foundation Trust, Portsmouth Hospitals University NHS Trust, Isle of Wight NHS Trust, University Hospital Southampton Foundation Trust, Solent NHS Trust, South Central Ambulance Service or Hampshire Hospitals Foundation Trust. This role is an exciting opportunity for a fast paced, experienced Executive Assistant to support the Chief Executive. You will be one of two Executive Assistants supporting the Chief Executive based in the Chair and Chief Executive Office team. This role is primarily focused on supporting with full and proactive inbox management giving you unprecedented access to the correspondence in the Chief Executive's inbox. You will be working exceptionally closely with the Executive Assistant focused on diary management. The role requires a wide knowledge of teams, topics and current priorities which will be fed into the team through the Chief of Staff and Head of Office. Frequent travel will be required around Hampshire, Isle of Wight and London to our offices and venues. This role is primarily office based with an average of two days per week working from home. A highly varied role where no day is the same in the Chief Executive Office. We are looking for an individual with quick thinking and judgement, a positive attitude, calmness and empathy. The role reports to the Head of Office working extremely closely with the Chair and Chief Executive Office team. To provide high level secretarial support and an efficient and comprehensive administrative service to the Chief Executive. This role is heavily focused on inbox management and includes working extremely closely with the Chief Executive Office team ensuring effective organisation of their commitments and correspondence. To work as a team member of the Executive Office, the administration team operate in a flexible and process driven way in a team focused environment. This is a very busy environment with multiple demands and therefore the Executive Assistant must be able to work under pressure and be able to multi-task. The post holder must be able to recognise the importance of confidentiality and sensitivity of issues and at all times is able to act using the upmost discretion. To work in a flexible and co-operative way, travelling around Hampshire and Isle of Wight providing support to the Chief Executive. This role is primarily office based with an average of two days per week working from home.,

  • To provide an efficient and effective confidential service such that the Chief Executive is well supported through all means of their role.
  • To fully manage and operate the Chief Executive's inbox, this includes acknowledging and responding to correspondence in a timely manner, redirecting and flagging emails for the Chief Executive/Chief of Staff/Head of Office to action, and following up for responses and actions.
  • To always work in a highly professional manner, maintaining diplomacy and confidentiality in communicating highly sensitive or highly contentious information with internal staff at all levels across all parts of the ICB as well as other external bodies/members of the public. This requires tact, discretion, and sensitivity to promote the good name and reputation of the ICB.
  • Making rapid and accurate assessment of urgent/sensitive situations that could be addressed by other colleagues.
  • Working in line with the Chief Executive's Office Standard Operating Procedure.
  • The job holder will carry out any other duties as required by the Head of Office.
  • Excellent working relationships and team working skills are needed within the other members of the Chief Executives Office, Executive Office and Corporate Services Team.
  • Required to maintain constructive relationships with a broad range of internal and external stakeholders, including members of the public and very senior leaders.
  • Ensuring accurate and open communication with all members of the organisation.
