Full Job Description

We're seeking a dynamic Executive Assistant to join the Franklin Templeton UK Sales team. In this role, you will be responsible for supporting the Head of the UK and the UK distribution team plus any other business partners or functions deemed necessary to execute our business efficiently and provide administrative support to ensure smooth business operations. Collaborating closely with senior leadership across the UK, and Canada businesses, you'll play a crucial part in driving the business forward, offering full support behind the scenes. This role requires someone to be in the office a minimum of 3 days per week.,

  • Collaborate with senior leaders and distribution teams to facilitate the execution of the strategic plan.
  • Monitor and manage departmental budgets to ensure financial alignment.
  • Document and maintain detailed meeting minutes for key departmental meetings.
  • Assist in creating and distributing internal and external communications., Organize and manage individual and team calendars, anticipating needs and planning effectively.
  • Ensure the team is well-prepared for meetings by providing all necessary documentation in advance.
  • Coordinate complex domestic and international travel arrangements, including detailed itineraries and subsequent expense reporting, Deliver administrative support to senior executives, including meeting coordination, handling emails, correspondence, mail, invoice processing, expense reporting, filing, and scanning.
  • Ensure the team is well-prepared for meetings by providing all necessary documentation in advance.
  • Serve as a liaison between executives, internal staff, clients, and external contacts.
  • Coordinate legal document signings and oversee formal processes.
  • Plan and manage departmental events, including booking meeting rooms, setting up
  • A/V equipment, arranging catering, and handling logistics.
  • Prepare high-quality spreadsheets, professional documents, and PowerPoint presentations.
  • Welcome visitors and manage office interactions with professionalism and efficiency.
  • Compile and analyze data for departmental projects and initiatives.
  • Collaborate with business units such as Technology and Facilities to meet operational requirements.
  • Provide administrative support for visiting staff, including coordination of trip itineraries.

  • Significant administrative experience supporting senior management in a professional setting
  • Experience in the finance industry or a corporate environment is highly desirable.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams) and SharePoint.
