Based at our Headington campus and reporting to the Chief People Officer, the Executive Assistant will be responsible for providing comprehensive, professional, confidential, administrative support. This role will be the first point of contact for the Chief People Officer so tact, discretion and a welcoming, positive attitude are therefore essential.
About the team
The People Directorate provides support to all Facilities and Directorates and is made up of approximately 70 members of staff. The team is based on the Headington Hill campus and provides guidance and expertise on employee relations, pay and benefits, recruitment, equality, diversity and inclusion, and organisational development, among others.
What will I be doing?

  • As an Executive Assistant to the Chief People Officer you will:

  • Provide comprehensive, professional, confidential, ad administrative support to the Chief People Officer (and, when required, the Registrar and Chief Operating Officer)

  • Be responsible for preparing and collating papers and ensuring deadlines are met for major university committees (Board of Governors, People Committee, Senior Academic Promotions Committee, VCG Recruitment Panel etc.)

  • Provide support to the Directorate Senior Management Team

  • Maintaining electronic diaries. Scheduling and organising meetings with relevant attendees (both internal and external)

  • Prioritise and allocate incoming communications, forwarding where necessary, answering letters, emails and preparing draft replies as appropriate

  • Support with administrative duties and support tasks as directed by the Chief People Officer, such as long service awards, University pay schemes, welcome events (alongside other post holders)., Based at our Headington campus, you'll experience the vibrant campus atmosphere and benefit from our modern office environment. The campus is one mile from the centre of Oxford and is served by regular public transport. This role will be hybrid and we expect there will be a requirement to be on campus 1-2 days on campus per week.

    Full Time, Permanent - Professional Ser, High standard of education qualifications, including excellent written English and good standard of numeracy

  • High level of competency in Google applications, Microsoft Office, Word, Excel and PowerPoint

  • Demonstrated ability in proof-reading and drafting of documents / presentations, with experience in financial transactions and monitoring budgets

  • Demonstrable experience as a senior PA / Executive Assistant supporting a senior post holder

  • Experience of working autonomously and handling sensitive corporate information

  • A meticulous attention to detail, coupled with an ability to work under pressure in a busy open plan office environment.
