Full Job Description
Reporting into the Account Director, you will be responsible for the management of all Extra Works across our client's sites in London., 1.Provide a safe and healthy workplace with responsibility for all QHSE compliance for both CBRE and supplier partners.
2.Ensure to manage and supervise extra works within the portfolio and oversee the delivery of additional works, planned maintenance reactive tasks. The delivery of service excellence. Ensure structures support peaks and troughs in workload, and disaster recovery.
3.Ensure CBRE engineers or 3rd party sub-contractors / vendors, ensuring all work has been completed to a satisfactory standard and post holders are fully competent, and that effective project planning arrangements are in place.
4.Working with other CBRE service lines on the account to ensure the collaborative development of the business, effective team working, and support to colleagues.
5.Ensure appropriate control systems to ensure statutory, policy and contractual commitments are met.
6.Day to day supervision of the onsite sub-contractors including technical support.
7.Technical support to the onsite engineers.
8.Liaison with Project Management Team on opportunities and any current works. Assist where necessary.
9.Overall responsibility for all small project and sub-contractors.
10.Responsibility for Service Output on all Reactive and Extra Works.
11.Managing CBRE CDM documentation.
12.Management of Extra Works Budgets.
13.Management of own training inclusive of training records.
14.Update of engineering life cycle report.
15.Support preparation and implementation of shutdowns.
16.Preparation and issuing of technical reports including KPIs, Weekly SLA reports.
17.Participation in all engineering weekly update meetings / conference calls.
18.To monitor and update Statutory and Non-Statutory Compliance records and documentation, being responsible for all QHSE Logbooks in the portfolio.
19.To carry out additional works tasks, reactive tasks and occasional planned maintenance, on at LBoHackney, the production, vetting & filing of all necessary documentation.
20.Ensuring a customer focuses within all areas of operational activities, and that effective relationships are maintained with key client contacts.
21.Assure contingency plans are in place for emergencies, including approved business continuity plans, disaster recovery plans, service disruption notification processes and crisis management processes.
22.Ensuring business policies and processes are effectively communicated, and implemented within the contract.
23.Understand and comply with Site safety rules/requirements.
24.Ensure safety PPE and equipment is available and utilised by both self-perform team members and Supplier partner team members at all times.
25.Management of the teams in accordance with CBRE's Procedures and Policies for Extra Works and Reactive tasks.
26.Responsible for Extra Works/Reactives/Compliance/QHSE Logbooks at Multi-client locations.
27.Ensure ongoing and required training (PPE, LOTO) is conducted and completed.
28.All reporting must be timely and complete and all required on site documentation must be up to date and easily accessible.
29.Support Site Budget Management by driving Operational control through Metrics Management.
30.Deliver services based on contract scope of work with full understanding of the scope variances by site.
31.Ensure knowledge of Supplier contract terms, scope of work and performance specification.
32.Ensure PO's are raised and processed in compliance with GWS policy, utilising the new 3-way matching process.
33.All reports are to be appraised and trained in line with CBRE Company polices.
34.Compliance with and record keeping for CBRE ISO 9002 Quality Management System.
35.Ensure compliance for all Site Based-Log Books.
36.Providing day to day direction, guidance and support for the members of the teams.
37.Management controls implemented to the Permit to Work systems including authorisation to work, and in process checks are undertaken. Ensure correct isolations are in place.
38.Fulfils other supplementary duties including and not limited to: auditing for compliance with control of auditing plan, providing quotations via Webquote for ad hoc/additional works.
39.Ensure the provision of a safe & healthy working environment, and ensure compliance with all Company policies and procedures, as well as client site policies, procedures and working arrangements, as required.
40.Ensure a professional image of CBRE is presented to clients and visitors, and ensure excellence in customer service is delivered and promoted at all times.
41.Ensure that professional and technical skills are maintained through a commitment to personal development and life-long-learning.
42.To attend weekly meetings and feedback to all staff as requested by CBRE. (project meetings, planning meetings etc).
43.Any other reasonable request of your Line Management.
44.Providing revenue and profit delivery, reduction of WIP, EW, cost reduction and contract growth, and ensure that these are met and exceeded.
45.Ensure appropriate control systems to ensure statutory, policy and contractual commitments are met.
46.Ensuring a customer focus within all areas of operational activities, and that effective relationships are maintained with key client contacts.
47.Provision of leadership and guidance, advice, coaching and direct support, where required to deliver best practice selection, training, assessment and recognition/reward.
48.Delivering effective business communication through advice, leadership and direct contribution to management and team meetings, briefings, contract meetings and ad-hoc reporting and other publications, as appropriate.
49.Provide a learning environment, and appropriate training and development planning. Ensure basic training needs are delivered, employees are fully competent to undertake their roles, and are able to reach their full future potential.
50.Assist, where practicable with the organisation of other service functions as part of the IFM i.e. arranging deep cleans.
Accountabilities
1. Reporting to Account Director.
2. Accountability to the CBRE functional heads, as appropriate.
3. Accountable day-to-day to the relevant client contacts.
4. Line management responsibility for a contract team and indirectly for relevant sub-contractors.
5. Financial responsibility for the delivery of Plan commitments for the contract.
[Essential] Degree level or industry standard qualification
Environmental Health & Safety industry recognised qualification
Technical Qualification, ideally Electrically Biased.
[Desirable] Affiliation to or membership of an industry related professional body
Training
[Essential] Good PC based skills, with experience in Word/Excel and Outlook - intermediate to advance level.
[Desirable] PowerPoint and Access.
Experience
[Essential]3 years experience in a similar role. Strong related experience in FM operations.
[Desirable]Previous experience of a customer-facing role
