Full Job Description

We are looking for a facilities administrator to join our growing team and help assist with the daily operations of our team. The facilities administrator will be responsible for coordinating and overseeing the day-to-day operations of our facilities. The role involves managing maintenance activities, liaising with suppliers, ensuring compliance with health and safety regulations, and providing general administrative support to the facilities team. The ideal candidate will have strong organisational and communication skills and provide a proactive approach to problem-solving.

  • Oversee the day-to-day operations and maintenance of the facility, including building pass auditing and visitor management, to ensure a safe and efficient working environment.
  • Manage space allocation, meeting room planning, and adjustments to meet the evolving needs of the organization. Providing cover for Office Manager/facility lead when required.
  • Negotiate and manage external vendors and service providers, including cleaning, security, and office supplies, to ensure quality services are obtained at cost-effective rates.
  • Implement and oversee a comprehensive facility management system, including a preventative maintenance schedule, to minimize downtime and extend the lifespan of facility assets.
  • Coordinate with IT department to ensure all technological infrastructure within the facility is functioning optimally and meets the organization's operational requirements.
  • Develop and manage the facility's budget, including forecasting expenses, processing invoices, and monitoring expenditure to ensure financial efficiency.
  • Manage the pool car booking system and ensure that all appropriate paperwork is documented and oversee vehicle maintenance schedule.
  • Ensure compliance with all regulations and codes related to building operations, safety, and environmental standards including the coordination of PPE.

    Previous experience in a facilities management or office administration, or a similar role is highly desirable.
  • Strong organisational and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • High attention to detail.
  • Ability to work independently and as part of a team.
  • GCSE or equivalent preferred.
  • Any offer of employment will be strictly subject to the relevant security requirements for the role being met. This means that you will need to have, or be able to obtain, Baseline Personnel Security Standard (BPSS) clearance and either Security Check (SC) or Developed Vetting (DV) clearance. The security clearance process may require non-British nationals or dual nationals (i.e. those with British and another nationality) to be subject to additional evaluation, depending on nationalities held and the nature of the work to be carried out
