Full Job Description

This role is only open to applicants that currently work within an NHS Trust within the Hampshire and Isle of Wight Integrated Care System (HIOW ICS). Hampshire Hospitals have a fantastic opportunity for an administration assist to join the small and friendly parking office team. The Service is an essential part of the Facilities Team and the primary aim of the service is to support the smooth running of the healthcare environment across multiple sites. Supporting a dedicated Parking Team, this position is central to providing efficient and friendly customer service, providing essential administration support in a busy hospital environment. This position will also support the implementation of a new parking permit system.   • Support the parking team in the administration of the new parking permit system.
  • Support the parking team with the day to day parking operations, administering staff parking permits and queries.
  • Answer the phone and monitor the inbox giving advice / answer queries to customers.
  • Calculate and process refunds.
  • To receive, check and process PCN payments made over the phone.
  • To process Park & Ride requests and monitor the system.
  • To use the reporting tool to retrieve simple parking data and collate for reporting.
  • Report faults and organise external service engineers to rectify.
  • Ensure staff records are filed in an efficient and timely manner.
  • Maintain close communication with Service Manager / Lead on a regular basis of work progress and alerting them of problems.
  • Raise and receipt purchase orders using SBS.
  • To take minutes of meetings, transcribe in a timely way and circulate.
  • To provide any other duties appropriate to the band and post.
